St. Christopher Holdings Ltd. is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO of a rapidly growing private holding company. This dynamic role involves a wide range of tasks, including managing the CEO's calendar, arranging both domestic and international travel, handling personal and professional correspondence, organizing events, and coordinating key meetings and logistics. The ideal candidate will be detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:Executive Support
Manage and prioritize the CEO's calendar, ensuring time is allocated efficiently for business, nonprofit, and personal commitments.Organize and manage complex travel itineraries, including flights, hotel, and transportation for the CEO, their family, and key staff members.Act as the point of contact for internal and external communications on behalf of the CEO, including emails, calls, and correspondence.Assist in preparing documents for meetings, including agendas, reports, and follow-up materials.Maintain confidentiality and discretion in handling sensitive information and personal matters.
Event & Meeting Coordination
Coordinate attendance and logistics for company events, political receptions, galas, and other special engagements.Arrange board and project meetings, including scheduling, follow-ups, and reminders.Ensure smooth coordination of events and meetings by liaising with internal and external stakeholders and managing vendor relationships.
Financial & Personal Assistance
Process personal and professional bills, including liaising with the accounting team to ensure timely payments and proper classification.Assist with personal finance reconciliation, including budgeting and reporting.Help with personal event coordination, including private dinners and major personal events (e.g., wedding).
Administrative & Office Support
Maintain office supplies and ensure that the workspace is organized and ready for meetings.Provide administrative support for building maintenance, IT troubleshooting, and office coordination.Manage general office duties such as scanning, filing, and document preparation.Greet and direct visitors, answer phone calls, and manage the reception area.
Team Collaboration
Act as a liaison between the CEO and senior management, ensuring smooth communication and scheduling.Assist other C-suite executives and staff as needed with scheduling and project coordination.Support the CEO in special projects and ad hoc tasks as required.
