What You Will Do
The X Computational Physics (XCP) Division is seeking an organized, highly proficient, customer-focused and reliable Administrative Assistant to provide high level administrative support in a classified work environment to the management and staff of an active, complex technical organization. The selected candidate must have the ability to function in a confidential and discrete manner, demonstrate the ability to work independently and effectively under pressure, as well as in a team environment requiring cooperation and flexibility.
The selected candidate will serve as a group office administrator and provide day-to-day administrative support to the group leader and staff members. The group office administrator will interact and collaborate with other support staff within the division, and the ALDX directorate. This position reports directly to the Staff Operations Manager.
Job responsibilities for this position include, but are not limited to:Execute complex administrative and office-related functions and activities requiring sound judgement, initiative, and independent action;Generate a variety of internal and external professional correspondence;Receive, review, prioritize, track and distribute incoming and outgoing messages and actions, including electronic and hardcopy mail, utilizing established or self-developed databases and/or systems and follow-up as appropriate;Coordinate multiple calendars and complex schedules;Coordinate meeting/conference scheduling and announcement logistics including badging and clearance transfers as appropriate with internal and external attendees;Coordinate domestic and foreign travel arrangements and reimbursements;Handle program and/or personnel sensitive information and/or classified matter;Compiles, organizes, and develops briefings and meeting documentation;May serve as an escort to visitors and uncleared and/or L-cleared personnel;
What You Need
Minimum Job Requirements:Administrative Support
Advanced-level experience providing high-level administrative support in a busy office environment requiring complex calendar management, domestic and foreign travel, procurement, meeting scheduling/logistics, visitor processing, accurate data entry and tracking, and time keeping. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.
Organization and Time Management
Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel related information. Demonstrated record of dependability, availability, attendance, and punctuality.
Business Systems
Expert-level knowledge and experience with Webex, Google Docs, Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, and Word) and with Oracle business systems and Concur for domestic and foreign travel. Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations. Experience serving as a designated procurement representative (DPR).
Communication
Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.
Leadership
Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy and discretion in dealing with sensitive and confidential information.
Desired Qualifications:
Experience supporting JOWOG meetings.Experience as a classified matter custodian, or working in a classified environment.Experience as a designated procurement representative (DPR).Active Q clearance.Education:
Position requires a minimum of 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.

Position commitment:

(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
