The Administrative Assistant plays a crucial role in providing administrative support to ensure efficient operation of
the office. The Administrative Assistant's responsibilities will include handling a variety of tasks such as managing
schedules, organizing meetings, coordinating travel arrangements, and maintaining filing systems. The
Administrative Assistant will serve as the primary point of contact for internal and external stakeholders,
demonstrating professionalism and excellent communication skills.
ESSENTIAL FUNCTIONS:• Be aware and knowledgeable of program leadership schedules, appointments, and travel arrangements.• Coordinate meetings, including scheduling, sending invitations, booking meeting rooms, and preparing
necessary materials.• Answer and direct phone calls, emails, and other correspondence to appropriate parties.• Prepare and distribute correspondence, memos, letters, reports, and other documents.• Assist in the preparation of presentations and reports.• Maintain filing systems, both electronic and physical, ensuring proper organization and easy retrieval of
documents.• Assist in the preparation of expense reports and reimbursement requests.• Coordinate office supplies procurement and manage inventory levels.• Handle sensitive and confidential information with discretion.• Perform general clerical duties, including photocopying, scanning, faxing, and mailing.• Provide support to other team members as needed.• Other tasks and responsibilities as assigned by supervisors.
SKILLS & ABILITIES:• Strong written and verbal communication skills.• Ability to prioritize tasks and work independently with minimal supervision.• Attention to detail and ability to create and maintain systems of organization.• Ability to adapt to changing priorities and deadlines.• Commitment to professional development and proactive research.• Proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Outlook).• Familiarity with office equipment such as printers, copiers, and fax machines.
EDUCATION & EXPERIENCE:• High School Diploma or General Education Diploma.
QUALIFICATIONS:• Must be 21 years of age or older.• Flexible schedule (evening, weekends, holidays) to facilitate program services.• Must be able to pass a drug test.• Cleared background checks from appropriate entities, including Child Abuse and Neglect and FBI
criminal background.• Must have a valid driver's license and be eligible to drive to facilitate program services as required.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:• May lift and carry up to 10 pounds frequently, up to 20 pounds occasionally, up to 50 pounds
infrequently.• Performs tasks that may involve standing or walking 50% of the day; sitting 50%of the day.• May bend, stoop, reach and grasp as necessary.• Must be able to provide First Aid and CPR.• Must be able to perform physical holds as instructed in Crisis Prevention Intervention training
(CPI).
The pay range for this role is:
20 - 20 USD per hour (663 VQ CBS Bexar)
