Our Austin studio has an opening for a part-time Administration Assistant/Front Desk Receptionist. This is an in-office role and requires approximately 20-25 hours a week.

Position Summary

As an Administration Assistant/ Front Desk Receptionist, you are our director of first impressions and the main contact for our visitors and vendors. You are responsible for providing a welcoming environment to all visitors, vendors, clients, and consultants. Additionally, you will assist with meeting coordination and presentation setup/breakdown; perform miscellaneous administrative tasks; maintain overall office organization; assist with employee onboarding; and contribute to project-based support as time permits. This is a part-time role with room to grow to full-time, and is eligible for benefits.

The successful candidate will:

* Greet all visitors, vendors, and employees as the face of the office* Answer incoming general office calls* Coordinate conference rooms, events, meetings, and culture events* Manage inventory of office and kitchenette supplies* Assist with travel reservations, manage office calendars, and distribute mail* Manage coordination with vendors* Distribute relevant information to staff regarding local activities and events* Coordinate overall office organization and cleanliness* Assist with onboarding new employees* Coordinate regular office maintenance and building services

Required Qualifications:

* 3 or more years of experience in relevant client-facing customer service role (i.e. administrative assistant or receptionist)* Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, etc.)* Knowledge and use of Adobe Acrobat and/or Bluebeam* Knowledge of general business procedures and use of office equipment* Excellent communication skills, both verbal and written* Proactive, independent thinker with ability to prioritize work* High attention to detail and high organizational skills

Preferred Qualifications:

* Experience in architecture, engineering, or construction (AEC) industry* Ability to work in the office 5 days a week, approximately 4-5 hours each day
