Job Description:
The Director of Operations plays a crucial role in our practice, reporting directly to the practice owner. This leadership position involves overseeing and improving the operational functions to ensure efficient and effective daily operations. The ideal candidate will focus on enhancing operational efficiency, setting budgets, implementing employee policies, and fostering a positive workplace culture. Key responsibilities include reviewing company documents, implementing hiring procedures, and collaborating with the owner to enhance practice operations.
Key Responsibilities:
Strategic Leadership:
Develop and implement innovative operational strategies to enhance efficiency and service delivery within the practice.
Collaborate closely with the practice owner to ensure that operational goals align with the practice's overall vision and mission.
Set strategic goals and make informed decisions regarding operational activities to drive growth and profitability.
Operational Oversight:
Monitor daily operations to ensure compliance with healthcare regulations and industry standards and maintain the highest level of quality care.
Oversee resource allocation, including staffing and budgeting, to effectively meet the evolving demands of the practice.
Staff Management:
Directly supervise the practice manager in all aspects of staff recruitment, onboarding, training, and performance evaluations, including:
Managing job postings, candidate screening, and interview processes.
Facilitating onboarding processes and clinician training programs.
Overseeing performance reviews and offboarding processes.
Financial Management:
Oversee billing processes, invoicing, and payments, ensuring accuracy and compliance.
Prepare detailed financial reports and monitor revenue cycle management to optimize profitability.
Client Relations:
Implement effective communication strategies for client inquiries, scheduling, and follow-ups.
Cultivate strong relationships with clients to enhance their overall experience and satisfaction.
Booking and Scheduling:
Ensure efficient appointment scheduling and resource management, including:
Overseeing intake processes and managing clinician availability.
Verifying insurance benefits and coordinating referrals.
Compliance and Risk Management:
Maintain oversight of regulatory compliance, including HIPAA, licensing, and accreditation.
Implement risk management strategies and ensure data security protocols are in place.
Technology Management:
Oversee the maintenance and functionality of IT systems, including EHR and scheduling software.
Provide tech support and coordinate staff training on new systems and software.
Policy Development:
Develop and implement standard operating procedures (SOPs) and workplace policies.
Ensure the employee handbook is current and compliant with all legal requirements.
Marketing and Community Engagement:
Support the practice manager in marketing initiatives, including social media engagement and website updates.
Participate in strategic partnerships and proposals to enhance practice visibility and outreach.
Supplies and Equipment Management:
Oversee inventory management and supplier relations to ensure timely and cost-effective procurement of office supplies.
Qualifications:
Proven experience in a leadership role within healthcare operations.
Strong understanding of healthcare regulations, compliance, and industry standards.
Excellent organizational and multitasking skills, with a focus on process improvement.
Strong interpersonal and communication skills, capable of fostering a collaborative work environment.
Proficiency in financial management and understanding of billing processes.
Education:
Bachelor’s degree in Healthcare Administration, Business Administration, or a related field; Master’s degree preferred.
Experience:
Minimum of 5 years of experience in operations management, with at least 2 years in a supervisory role.
Experience with Electronic Health Records (EHR) systems and practice management software is highly desirable.
