Position Summary
Reporting to the CTO, we are seeking an organized and proactive Office Manager to oversee the operations of our San Diego office. As the primary point of contact for all business-related inquiries, you will support our San Diego team with dedication and demonstrate genuine care for our employees' success. This role is
full time, in person
and typical work hours are M-F 8-4:30pm.
What you will be doing:
Create a strong relationship with all our employees ensuring a welcoming and inclusive environment and being a go-to person for any office-related questions.
Carry out office administrative duties such as sending and receiving packages, responding to inquiries over email or phone, managing incoming mail, managing office budget, office inventory, and welcoming visitors.
Provide executive support to the CTO, including managing calendar appointments, travel arrangements, and preparing materials for meetings.
Engage and connect with employees around the office by participating in and leading social events, including Quarterly office events, Monthly Happy Hours, holiday parties, birthday and anniversary celebrations, etc.
Oversee and maintain the office kitchen supplies, snacks, beverages, coffee machines, and weekly lunches/breakfasts.
Work closely with People & Culture and IT teams on onboarding and offboarding procedures, such as coordinating hardware shipments internationally.
Manage and maintain the office social calendar.
Liaise and maintain relationships with building property management, building maintenance, sub-contractors, and janitorial staff as needed.
Ensure all meeting rooms are kept tidy and ready for use.
Work with our Compliance team on information security protocols, such as office access cards.
Take the role of Health & Safety Officer and work collaboratively to implement and enforce office safety protocols carrying out risk assessments and audits as required.
You have:
2-5 years of work experience in an administrative or office management role.
Must have exceptional attention to detail and a proactive nature.
Strong organizational and time management skills, and ability to prioritize.
Strong interpersonal skills to contribute towards a positive and welcoming environment.
Adaptability to change with a flexible, can-do attitude.
Takes the initiative to create process improvements and solve problems.
Excellent organizational skills.
Adept at working in a fast-paced environment while maintaining efficiency and calm.
Effectively prioritizes by managing time and multiple tasks.
It's a bonus if you have:
Experience or interest in working with People & Culture teams.
Experience using Google Suite.
Previous experience in Health & Safety and risk management.
Exposure to Facility and vendor management.
