The

Director of Operations

oversees daily operations across regional communities, ensuring all aspects of resident care, staff development, and administration align with company policies and regulatory standards. This role reports to the Vice President of Senior Living and agrees to comply with the duties outlined below. Additional responsibilities may be assigned as needed.

DUTIES AND RESPONSIBILITIES INCLUDE:

Leadership and Compliance

Oversee Executive Directors (EDs) :

Provide direct leadership, guidance, and mentorship to EDs within the assigned region, ensuring a unified approach to resident care, staff development, and operational efficiency.

Conduct Regular Site Visits :

Perform thorough on-site evaluations at each community at least twice per year, using the Site Visit Checklist to verify compliance with HME Care/Peaceful Pines standards.

Ensure Regulatory Compliance :

Regularly review each community's policies and practices to ensure adherence to all local, state, and federal regulations, including OSHA, EEOC, Wage and Hour laws, and health and safety requirements.

Financial Management

Budget Oversight and Financial Analysis :

Oversee the development and management of community budgets, guiding EDs in setting financial goals and closely monitoring community financial health through regular budget reviews and analysis of P&L statements and general ledgers.

Expense Control and Cost-Efficiency :

Work closely with EDs to implement cost-control measures, identify areas for improvement, and ensure each community operates within budget constraints.

Monthly Financial Reviews :

Review and analyze monthly financial reports with EDs, ensuring they understand their community's financial status relative to the budget, and provide actionable feedback to improve fiscal outcomes.

Staff Development and Retention

Employee Mentorship and Growth :

Cultivate a positive work environment by mentoring EDs and fostering team-building and professional growth opportunities within each community.

Team Engagement :

Facilitate regular team meetings with EDs to review community performance, discuss strategies for employee engagement, and set actionable goals to reduce turnover.

Employee Development Initiatives :

Implement initiatives that promote skill-building, recognition programs, and leadership opportunities to encourage career progression and long-term staff retention.

Resident and Community Relations

Maintain Resident Satisfaction :

Support EDs in fostering a culture focused on resident care and satisfaction, establishing protocols for gathering and responding to resident feedback.

Community Outreach and Visibility :

Collaborate with the Sales and Marketing Department to create marketing strategies that increase community visibility, align with local demand, and support the overall growth of each community.

Crisis Management :

Act as a primary support resource for EDs when handling resident concerns or unexpected events, ensuring that residents receive prompt and compassionate responses to issues.

Operational Excellence

Adapt Strategies to Market Conditions :

Monitor changes in local and regional market conditions, adjusting operational strategies to address shifting needs and ensure each community remains competitive and successful.

Corporate Program Implementation :

Lead efforts to implement company-wide programs and initiatives aimed at operational improvement, resident satisfaction, and adherence to corporate values and goals.

Process Improvement and Best Practices :

Regularly evaluate operational processes and community workflows, recommending adjustments to improve efficiency, reduce costs, and enhance resident and staff experiences.

Quality and Safety Standards

Safety Protocols and Emergency Preparedness :

Ensure all communities have updated emergency preparedness plans and procedures for handling hazardous materials. Oversee regular safety drills and compliance with health and safety codes.

Quality Assurance :

Establish and maintain quality benchmarks for each community, working with EDs to identify and address any gaps in resident care, regulatory compliance, or operational standards.

Facility Maintenance :

Oversee property maintenance and improvements to ensure each community provides a clean, safe, and welcoming environment that meets resident and regulatory expectations.

Collaboration and Communication

Departmental Coordination :

Act as a liaison between various departments (e.g., Nursing, Maintenance, and Administration), facilitating collaboration and open communication to resolve issues and streamline operations.

Regular Reporting to Leadership :

Prepare detailed reports on community performance, financials, and operational status, providing regular updates to the President and Director of Operations.

Promote Company Values :

Reinforce and uphold HME Care/Peaceful Pines policies, standards, and company values through direct interaction with EDs and staff, promoting a unified and mission-driven work culture.

QUALIFICATIONS:

Bachelor's degree in Healthcare Administration, Business, or a related field preferred

Prior multi-site management experience in assisted living, memory care, or long-term care

required

Strong leadership and organizational skills, with proficiency in Microsoft Office, Sales CRM Systems, and Financial Systems required

Familiarity with budgeting, financial reporting, and regulatory compliance required

Excellent communication skills and the ability to foster a collaborative work environment required

Willingness to travel frequently and adapt to flexible work hours.
