Xavier University’s Office of Physical Plant in Cincinnati, Ohio is seeking an Associate Director of Maintenance and Operations to manage a skilled multi-trade workforce and the maintenance and operations of 2.5 million gross square feet of campus facilities. The successful person for the job will be a strategic and exceptional leader and has extensive expertise in the management and operation of central utility plants and infrastructure, HVAC systems, electrical systems, building automation controls, and emergency response systems.
Job Responsibilities:
Oversees and optimizes the work order system, leading the preventive maintenance of building systems, coordinating small projects, and managing work requests with precision. Guarantees the accuracy of data entry and rigorously verifies the quality and completeness of all work performed.
Expertly manages procurement operations, ensuring the seamless acquisition of building operation supplies, and fostering strong partnerships with vendors and contractors.
Establishes and maintains comprehensive records, reports, and evaluations, providing valuable insights into operational effectiveness and continuously enhancing the maintenance program.
Takes ownership of scheduling routine and preventive maintenance, ensuring that building systems, equipment, fixtures, and other facility components operate at peak efficiency and reliability.
Leverages both written and oral communication to keep internal stakeholders consistently informed of corrective actions, status updates, and resolutions, ensuring a seamless flow of information and closing the loop effectively.
Coordinates activities and fosters collaboration across Plant teams, departments, and university organizations, driving synergies that enhance operational efficiency and service delivery.
Proactively investigates and addresses complaints related to building temperature and humidity fluctuations, fresh air flow, building safety, and other concerns, swiftly initiating corrective actions to maintain a comfortable and safe environment.
Provides exceptional support for Physical Plant customer service issues, demonstrating a commitment to resolving concerns with responsiveness and professionalism.
Leads the maintenance and implementation of computer-based facility management systems and programs, such as CMMS and BAS, driving significant utility cost savings and operational efficiency through advanced mechanization.
Standardizes policies and procedures across campus systems, including central utility plants, chilled water and hot water systems, refrigeration, electrical distribution, smoke alarms, fire suppression, and more, ensuring consistency and reliability.
Utilizes baseline data to strategically reduce energy consumption during equipment repairs or replacements, optimizing operational efficiency and sustainability.
Ensures rigorous compliance with all state and federal regulations, including safety standards (OSHA, ANSI, NFPA), EPA guidelines, insurance requirements, and university policies, safeguarding both operations and reputation.
Provides expert design engineering support and value engineering to construction teams, offering strategic advice on capital projects, renewal initiatives, and repair projects, ensuring high standards of quality and efficiency.
Cultivates and sustains a highly capable, motivated, and disciplined workforce, driving excellence through continuous training and development.
Accountable for the strategic management of annual operations budget, ensuring fiscal responsibility and alignment with organizational goals.
Job Requirements:
Vocational or technical training required
Bachelor’s degree preferred
5-10 years of relevant experience
Must have at least five years’ experience in facilities management or related engineering field:
• Responsibility for an annual operating budget of at least $1,000,000.
• Direct supervision of supervisor level employees that manage over employees.
• Coordination, planning and direction of maintenance projects in excess of $250,000.
• Familiarity with external contractors providing services of at least $100,000.
This is a grade 33 position.
