JOB DESCRIPTION:
Emergency Management is seeking a dedicated and detail-oriented Program Coordinator to provide a variety of project and support services for the efficient operations of this 24/7 department.
Incumbents are responsible for advanced administrative support and project management/supervision duties such as:
Coordinating special projects, project committees, and/or volunteers
Conducting related research
Compiling and/or maintaining statistical information
Creating a variety of reports for the department, Unified Government, and State and Federal entities
Participating in and/or assisting with a wide variety of internal and external meetings
Creating a variety of reports
Assisting with or managing special projects, which includes maintaining and tracking project assignments and deadlines
Providing customer service and responding to customer complaints or requests for information, which include FOIA and Tier II EPCRA requests
Maintaining inventories of office equipment / supplies / forms and reorders supplies as necessary
Using Workday to process department time tracking for payroll, submitting invoices and purchase orders, pulling related reports, and tracking departmental personnel records
Handling record retention and disposal
Serving as a liaison between Emergency Management and other departments
Assisting in the preparation and monitoring of the annual budget, which includes tracking and itemizing capital projects, assisting in preparing grant applications to secure funding, reviewing expenditures for budgeted items, and compiling, classifying and preparing financial information.
Managing grant requests and funds, which includes maintaining all financial records and related documentation, developing financial spreadsheets, and entering data into various governmental online systems such as Grants.gov and FEMAgo.gov
MINIMUM QUALIFICATIONS:
Bachelor's Degree in a related field and two years of related program experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Excellent communication skills, organizational skills, project management and grants management skills; proficient in Microsoft Office (specifically Word and Excel). Requires ability to work independently as well as with instructions or directions. Ability to communicate effectively and interacting with the public is required.
The ideal candidate can respond to the EOC as required on a 24/7 basis to support EOC activation of Level 2 or 1.
KEY KNOWLEDGE/SKILLS:
Records filing and management techniques
Office practices, including using computers and related software applications (such as Workday), and using office equipment such as fax machines, telephones and copiers
Customer service techniques
Prioritizing tasks
Developing and designing databases and/or spreadsheets
Troubleshooting complex problems
Research and report preparation
Compiling and analyzing data
Basic mathematics, accounting, and budget theories and principles
Interpreting and enforcing policies and procedures
PHYSICAL REQUIREMENTS:
Positions in this class typically require: reaching, fingering, grasping, talking, hearing, seeing, and repetitive motions.
Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Salary Range:
$25.96/hr.-$34.72/hr.
