Job Description
The administrative specialist provides administrative and clerical support to management and staff to achieve corporate and departmental goals and objectives. Responsibilities include coordinating meetings and schedules, independently analyzing complex information requests, drafting correspondence, analyzing complex trends and creating system-generated reports. The position involves contact with the general public, government agencies, law firms, management and co-workers.
Responsibilities
Create, process and maintain information using software specific to the function of the department or position; including licensing, dispatching, database maintenance and report generation.
Analyze and maintain databases, report data and create reports on a scheduled basis and as requested.
Maintain strong technical knowledge of the position and departmental functions.
Respond to inquiries and provide problem resolution based on analysis of the problem.
Coordinate schedules, expense reports, manage executive calendars and meeting arrangements (including reservations, location, room set-up, menus, etc.)
Organize daily work and projects including safety reports, office supplies management and ordering, call out program reports, etc. Direct work and assignments on a daily basis, orally and via e-mail to direct reports of the vice president and general manager.
Knowledge and high level word processing skills: Microsoft Word, PowerPoint, Visio2000, Excel, Outlook and Oracle. Coordinate the timely completion of weekly and monthly reports, time entry queries, code-block validations for processing check disbursements and expense reports.
Perform word processing for agreements, letters and memos; maintain lists and reference information and organizational charts.
Prepare standardized and original documents for the departmental staff, management and governmental and legal agencies.
Obtain information and communicate information via personal contact, phone contact or written correspondence to customers and other external contacts.
Provide administrative support to departmental staff including responding to phone inquiries, handling correspondence, travel arrangement and special meeting needs.
Provide direction/work assignments to co-workers within the department; provide direction for temporary staff. Perform any additional responsibilities as requested or assigned.
Qualifications
Associate's degree in business, liberal arts or the equivalent related work experience. (Typically three years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree.)
Four or more years of related work experience.
Effective oral and written communication skills to process information timely and accurately.
Strong personal computer skills; demonstrated proficiency in Word and Excel; basic knowledge and ability in software packages such as PowerPoint, Access and Visio; the ability to create documents and maintain information in department-specific software packages; proficiency in keying and software program features based on required assessments.
Effective analytical, problem-solving and interpersonal skills; a customer-service focus and the ability to work as a member in a team-oriented environment. Ability to prioritize and handle multiple tasks and projects concurrently.
Related work experience focusing on independent projects with limited supervision.
