This position is within the Property Management division of IRG Realty Advisors and will assist the Property Manager in the overall operation and maintenance of the property, as well as be responsible for planning, overseeing, and leading projects. General responsibilities will pertain to plans, organization, direction, and control of the operational activities of the property to meet the tenant and client needs.
Essential Job Functions:
This is a hybrid position in that it requires a combination of first-hand technical knowledge, and administrative, people, and customer service skills.Provides hands-on diagnosis of building systems and infrastructure including HVAC, plumbing, electrical, life safety, and fire protection/suppression.Manages several moving project parts of a project simultaneously.Ensures projects are on time, on budget, and within scope.Understands delivery, usage, and measurement of utilities and possesses skills to track and reduce consumption of utilities. Manage tenant utility billings, utilizing appropriate calculation methods.Maintain appropriate standards of physical maintenance and facilities operations.Supervises Contractors for all site and building needs, including responding to emergencies, even when after-hours. Drafts best practice scopes, collects and reviews bids and prepares maintenance contracts for all site and building systems and needs, and manages those contracts while overseeing and reviewing their work. Reviews, properly codes against the budget, and approves invoices via an online software system.Communicate with tenants regarding operational needs, including troubleshooting, comparing requests to lease language, and facilitating property maintenance when the tenant is affected.Oversees and manages the online work order system to ensure preventative maintenance and day-to-day work orders are completed within lease requirements, and best practices and in a timely manner. Request tenant maintenance direct bills, if any, to the property accountant to be added to the rent statement.Troubleshoot/value-engineer complex maintenance problems, develop creative solutions, and perform complex maintenance duties, as necessary, to find the most cost-effective and efficient solution.Interfaces with contractors and vendors; Creates written specifications and secures bids for services in accordance with the established bid process.Researches and evaluates new maintenance products and procedures.Solicits bids and negotiates with vendors for goods and services. Holds vendors accountable for the quality of work, billing accuracy, and adherence to property policies and procedures for all projects.Establishes schedules for repairs and preventive maintenance and ensures they are completed.Prepares and makes recommendations for the annual maintenance budget. Implements approved budget on a day-to-day basis and is accountable for operating the property within the budget guidelinesDevelops and enforces operational protocol to ensure energy-efficient facility operation. Works with utility providers to discuss efficiency projects and rebate opportunities.Assists the Property Manager with developing fiscally responsible operational and maintenance policies, procedures, and plans.Prepares and makes recommendations for the annual maintenance budget. Implements the approved budget daily and is accountable for operating the property within the budget guidelines and management of annual operating and maintenance budgets.Maintain and manage property library files, building drawing files, as-builts, panel schedules, annual deliverables, contacts, and vendors.Utilize engineering, technical, and property knowledge to assist tenants with current work and fit-up needs.Create exhibits and assist leasing with necessary information, including square footage and building data. Strategize on layouts and locations.Manage site security, including contacting the authorities when necessary; assist in creating badges and maintaining the badging system; manage keys; verify buildings are secure; and provide new solutions to maintain a high level of security.Follows the guidelines of the IRGRA WORKFLOW Program to include elements of Vacancy Management (Vacancy Characterization and Review), Tenant Retention (Tenant Walkthrough, Tenant PM Compliance, Tenant Space Compliance), Compliance (Elevator Inspection), Fire System (Fire Riser Inspection, Fire Pump. Flow Test, Fire Panel Inspection, Sprinkler Pipe Integrity Testing, Impairment Management, Fire Protection, Analysis, Fire Pump Run, Fire Sprinkler Test, Backflow Inspection), Environmental (Water Treatment Test, Monitor Well Test, UST/AST Review), Operations (Site Inspections, Site Walkthroughs, Hot Work Management, Read Meters, High-Voltage Tests, Infrared Tests, Roof inspections, HVAC inspections, Grounds Review, Winterization), Leasing Support (Pre-Tour Review, Manage Tenant Improvements, Close-Out Walkthrough) and Budget/Capital (Budget Preparation, an inspection of Elements Under Service Agreements, RFP Preparation, Capital Plan Reforecast and Manage Capital Projects)Skills/Qualifications:
