Objectives of this role

The Executive Assistant provides high-level support to our Chief Executive Officer and Chief Operating Officer of Artori Group. The EA is adept at anticipating the needs of our Executives and serves as the liaison with other departments within the organization. You will exercise independent judgment in the resolution of administrative challenges and maintain the highest level of confidentiality in handling information and matters for the Executives. The ideal candidate will plan and orchestrate work so that the Executives' priorities are met, Company goals are achieved, and best practices are upheld.

Responsibilities

Manage calendar, requiring interaction with internal and external executives and assistants via Microsoft Outlook.Create, maintain, and organize contacts in Outlook and CRM.Serve as a liaison with other departments (marketing, property management, accounting, IT, legal, etc.).Create and send DocuSign documents for Executives' and clients' execution.Ensure organization and appropriate filing of electronic communications.Coordinate travel logistics, including accommodations, transportation and meals.Assist with meeting preparation - gather materials, ensure proper printing, etc.Coordinate mailing of loan and closing documents via Fed Ex to banks and title companies.Organize and coordinate investor gift preparation as well as prepare and distribute Thank you/Birthday cards to investors and new clients.Assist with special event planning focused on investor appreciation and business development.Maintain files - primarily electronic, with minimal physical filing needsSupport marketing by coordinating, creating, obtaining approval, tracking, and distributing advertising materials.Support Marketing team with social media planning and posting.Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting costs, and/or quality of service within the functional area.Independently create well-organized, grammatically correct communications and invitations for internal and external distribution on behalf of PrincipalOther administrative support duties as assigned.Qualifications:

Bachelor's degree in business or equivalent work experience.2+ years' work experience as an executive assistant to CEO/President/Executive desired.Exceptional attention to detail.Strong organizational, prioritization, and time management skills.Self-starting and able to work with minimal oversight.Excellent interpersonal, oral, and written communication skills.Proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Outlook. SharePoint and Teams knowledge highly preferred.Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent Principal and the Company to outside parties.Ability to maintain strict confidentiality.
