Job Summary

Reporting to the Executive Vice-President, this position is responsible for administrative support through effectively maintaining a close and highly responsive relationship to the day-to-day activities of the department. In this highly visible position, the successful candidate will handle all administrative matters and promote the Company’s image by representing the EVP both internally and externally. Also acts as the primary liaison between the EVP and key executives, team members , and all other outside entities including the Company’s Board of Directors.

Job Description

Key Accountabilities

•Perform top level administrative duties in support of an EVP, including making travel arrangements, scheduling a high volume of meetings and appointments, managing an ever-changing business/personal Outlook calendar, and managing complex schedules

•Manage all travel arrangements by independently researching options for hotels, flights and ground transportation and making the necessary reservations; prepare itineraries.

•Performs complex secretarial duties, often of sensitive or confidential nature, utilizing available resources to ensure efficient office organization

•Performs administrative assistance in scheduling meetings, and meeting facilities to ensure efficient utilization of personnel and site re sources; arranges and coordinates division meetings. Screen multiple requests for meetings and utilize sound judgment in managing priorities of re quests based on importance and urgency

•Gathering and organizing materials for designated meetings, both internal and external

•Performs administrative assistance in preparing expense reports, serving as custodian of departmental credit cards; reconciles invoices; and recommends approval by managers; develops, maintains and reports division records as assigned

•With an understanding of business protocols associated with EVP’s and business associates, effectively interact with senior leaders, Board members and their executive assistants while representing the office of the EVP.

Education, Experience, & Skill Requirements

•High school diploma or GED and 10+ years executive administrative work experience supporting C-level executives, competency and familiarity with business practices of a large organization.

•Must possess excellent time-management skills , outstanding organizational skills and problem-solving skills.

•Must be an efficient, detail-oriented, and organized person who is responsive to deadlines and effective in a results-driven environment. Must be able to balance work independently with limited supervision and be able to respond effectively to competing priorities .

•Must have exceptional communication skills, including writing (memos , presentations, correspondence, and email ) and verbal skills to interface effectively with executives and all levels of staff.

•Must possess a strong level of discretion, and unwavering integrity and honesty to manage highly confidential information.

•Must have sound judgment to manage competing priorities and to understand scope and urgency of requests

•Must have advanced technical knowledge of MS Office with particular strength in MS PowerPoint, Word and Excel. Ability to compile executive presentations and communications.
