Come and Grow with a Leader in the Industry… PumpMan Pittsburgh has an exciting opportunity for a Service Admin to join our team in Pittsburgh, PA.

Responsibilities:

  • Responsible for answering, screening, and transferring all inbound calls in a prompt, polite, professional manner.
  • Responsible for taking detailed messages from callers if needed and will let caller know we will respond back promptly.
  • Responsible for receiving item(s) or other equipment from walk-in customers. Upon receiving item(s) will complete a job request form then enter information into the system.
  • Update/filing with compliance companies
  • Create and maintain vendor accounts – keep a good record of W-9 and insurance certificate
  • Create and maintain customer accounts – keeping records of credit applications and sales tax exemptions
  • Accounts Payable – 3-way matching
  • Contact customers & vendors to notify them of delinquent accounts and accept any payments made at the time of contact.
  • Send invoices and statements to customers. Confirm receipt and updated payable information is in their system to pay our bills on-time.
  • Keep a thorough record of customer contact and billing information, business transactions and enter data from daily work logs into the company’s various systems, supporting supervisory and executive staff by performing any assigned accounting tasks.
  • Create and maintain customer and vendor accounts – keep a good record of W-9 and insurance certificate, CC authorization and ACH forms, and business credit checks.
  • Assist in keying in or typing up any documents or items that the Accounting Department is responsible for, including A/P, A/R, and collections, checks and invoices, as well as vouchers, accounting statements, and other reports and records.
  • Assist personnel with any tasks conducted within the Accounting & HR department as needed.
  • General office duties.
  • Other duties may be assigned as needed.

Required Skills/Abilities:

  • Proficient organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Problem assessment and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software. QuickBooks a plus, but not required.

Education and Experience:

  • High School Diploma or equivalent required.
  • 1-3 years of clerical or administrative support experience essential.
