Position Overview
We are seeking an exceptionally organized and proactive C-Suite Executive Assistant to provide high-level support to our CEO. This role demands a highly skilled professional capable of managing a broad range of executive and administrative tasks with minimal supervision. The ideal candidate will be adept at balancing multiple priorities, maintaining confidentiality, and exercising excellent judgment while acting as the CEO’s primary liaison both internally and externally. This individual must possess outstanding written and verbal communication skills, as they will frequently serve as the first point of contact for the CEO.
Key Responsibilities
- Executive Support
- Serve as the main point of contact for the CEO, managing all communications including calls, emails, and correspondence with professionalism and efficiency.
- Calendar & Travel Management
- Coordinate the CEO’s schedule, including meetings, appointments, and travel arrangements, ensuring all details are meticulously organized and the CEO is well-prepared.
- Board Meeting Coordination
- Plan, organize, and manage logistics for board meetings, including the creation of presentation materials, distribution of pre-meeting documents, and post-meeting follow-up on action items.
- Research & Analysis
- Conduct research, gather data, and analyze information to assist the CEO in making informed decisions. Prepare reports, presentations, and briefings as required.
- Internal and External Liaison
- Collaborate with other members of the executive and leadership teams, as well as external stakeholders, on behalf of the CEO to streamline communication and ensure alignment on key initiatives.
- Meeting Attendance & Documentation
- Attend meetings with the CEO, taking accurate minutes, tracking action items, and ensuring timely follow-up with relevant parties.
- Expense & Financial Management
- Oversee the CEO’s expense reporting, ensuring all transactions are accurately recorded and aligned with company policies.
- Confidentiality & Discretion
- Maintain the utmost discretion and confidentiality when handling sensitive information, safeguarding both personal and company details.
Experience, Knowledge, and Skills
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 5 years of experience providing executive-level support to a CEO or C-Suite executive.
- Exceptional organizational skills with the ability to manage multiple priorities, solve problems independently, and adapt to shifting deadlines.
- Strong attention to detail with a track record of managing complex schedules and logistics.
- Excellent communication skills, both written and verbal, with the ability to interact confidently with senior leadership and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated discretion and the ability to handle highly confidential information with integrity.
Additional Requirements
- Ability to work flexible hours, including occasional evenings and weekends, as required by the CEO’s schedule.
- Willingness to travel up to 25% of the time, supporting the CEO on business trips or events.
- Other duties as assigned.
