Summary:
At Sendero Provisions Co., we are looking for a highly organized, detail-oriented, and proactive Executive Assistant to support our CEO and the broader Executive team in managing the company’s growth, public relations, daily operations, and strategic initiatives. This role is essential for keeping the executive office running smoothly by coordinating schedules, gathering key reports, managing PR opportunities, and ensuring seamless communication across teams and with external stakeholders. A willingness to learn and incorporate AI tools to enhance efficiency and productivity will be an asset in this role.
As part of a fast-growing, creative apparel brand blending western lifestyle with modern fashion, you will help facilitate exciting projects and initiatives such as product collaborations, large-scale photoshoots, growth and sales reports, high impact presentations, and global activations. This position is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and has experience supporting executive-level PR activities.
Essential Duties and Responsibilities: (Other duties may be assigned as needed)
- Administrative Support:
- Manage and maintain the schedules of the CEO and Executive team, including coordinating meetings, travel arrangements, media engagements, and events.
- Prepare agendas, take detailed notes, and follow up on action items from meetings with executive teams and partners.
- Handle internal and external communications on behalf of the CEO and Executive team, ensuring timely responses and prioritization.
- Project Coordination & Execution:
- Assist in the planning and execution of key initiatives such as photoshoots, product launches, activations, and collaborations.
- Coordinate timelines and track deliverables for campaigns, product lines, and marketing events to ensure seamless execution.
- Facilitate communication between departments and external partners to maintain alignment and progress on key projects.
- Operational Management & Reporting:
- Prepare insights and reports from weekly, monthly, quarterly, and yearly reports, as requested by the CEO and Executive team.
- Build and format presentations, reports, and briefing materials for meetings with leadership, stakeholders, and partners.
- Prepare financial summaries and performance dashboards for key projects and seasonal planning sessions.
- Maintain key documents and shared calendars, tracking deliverables for seasonal line planning, merchandising initiatives, and product roadmaps.
- Learn and incorporate AI tools and practices to streamline administrative tasks, project management, and data analysis.
- PR and Media Relations:
- Coordinate media appearances and interviews for the CEO and Executive team, including preparation of briefing documents and talking points.
- Assist in drafting press releases, statements, and public-facing communication on behalf of the executive team.
- Develop and maintain relationships with media contacts and external PR agencies to amplify Sendero’s brand presence.
- Monitor media coverage and social sentiment to provide relevant updates and insights to the executive team.
- Plan and manage PR events and sponsorship activations to increase brand visibility.
- Event Planning & Logistics:
- Coordinate the involvement of the CEO and Executive team in activations and collaborative events with various partners.
- Brand Representation & Special Projects:
- Represent the CEO and Executive team in internal and external meetings as needed, ensuring alignment with Sendero’s brand mission and goals.
- Support product collaboration projects and help develop special capsule collections to maintain brand presence during key seasons.
- Collaborate on strategic initiatives and provide insights to improve cross-functional efficiency within the organization.
Additional Responsibilities
- Data Analysis & Insight Preparation
- Develop Regular Market & Competitor Insights
- Provide executives with regular insights on western apparel industry trends, competitor movements, and consumer behavior to support strategic planning.
- Support with Sales and Merchandising Analytics
- Pull and analyze sales data to provide Executive team with insights on product performance and trends, aiding in data-driven decision-making for merchandising strategies.
- Special Projects and Campaign Support
- Assist with Seasonal Campaign Development
- Help structure timelines, coordinate deliverables, and support the CEO and Executive team in monitoring creative and promotional milestones for seasonal collections or brand-specific campaigns.
- Leadership and Team Communication Support
- Internal Communication Support
- Draft and circulate internal memos, updates, or communications on behalf of the CEO and Executive team to keep all teams aligned with evolving priorities, campaign goals, and other company-wide initiatives.
- Facilitate Cross-Team Collaboration as Needed
- Act as a point person for cross-functional projects and communication between departments as requested by the CEO and Executive team, particularly during high-stakes campaigns or tight deadlines to improve efficiency and accountability across teams.
- High-Level Administrative and Personal Assistance
- Handle Confidential and Sensitive Tasks
- Assist with sensitive or confidential matters, including managing internal processes or HR-related tasks, as delegated by the CEO or Executive team.
- Personal Assistance Tasks as Needed
- Support the CEO and occasionally other Executive team members with personal assistance tasks, especially during high-demand periods, to maximize efficiency and productivity.
- Brand Representation and Client Relations
- Engage with Clients and Partners Alongside or Occasionally on Behalf of the CEO and Executive team
- Assist in relationship-building efforts with Sendero’s high-value partners, clients, or investors, helping to coordinate communication, manage follow-up, and ensure a professional and personalized touch in all interactions.
- Continuous Process Improvement
- Identify and Implement Operational Improvements
- Regularly assess and recommend ways to streamline administrative processes, improve reporting, and increase productivity through tools, AI, or automation where appropriate.
- Build and Maintain Organizational Tools
- Develop and maintain organized systems (digital or otherwise) for managing project timelines, executive meeting materials, and tracking ongoing priorities.
- Travel and Event Support
- Travel with the CEO and Executive team domestically and internationally as needed, providing on-the-ground support during key functional events, meetings, and brand activations.
Qualifications & Requirements:
- Minimum 5 years of experience in an Executive Assistant or similar role supporting senior leadership.
- Exceptional organizational skills with attention to detail and ability to manage multiple priorities effectively.
- Strong written and verbal communication skills with the ability to draft professional correspondence and press materials.
- Proficiency in Google Workspace (Docs, Sheets, Calendar) and presentation tools (e.g., PowerPoint).
- Ability to collect, analyze, and compile reports from multiple departments to support decision-making.
- Familiarity with PR practices, media coordination, and public relations tools.
- Comfortable handling confidential information with discretion.
- Willingness to learn and use AI tools to streamline operations, enhance productivity, and improve reporting.
- Interest in the western apparel industry and familiarity with fashion or lifestyle branding is a plus.
Preferred Skills:
- Experience with PR, media relations, and press coordination.
- Ability to build and maintain relationships with media contacts and external agencies.
- Experience with event planning, photoshoot coordination, and activation management.
- Understanding of apparel merchandising, product development, and commercialization strategies.
- Strong interpersonal skills to manage relationships with internal teams, partners, and vendors.
- Ability to proactively identify bottlenecks and propose solutions to keep projects on track.
