Legal Secretary - Costa Mesa, CA

Our Client is seeking a Legal Secretary to join our Orange County Litigation team. This role is responsible for providing clerical, secretarial, and administrative support to three partners/attorneys. The ideal candidate will become a part of a dedicated team committed to working together to provide the highest possible level of service to clients, produce superior quality work product, and maintain an atmosphere of teamwork and continuous improvement.

Responsibilities:

  • Provide exceptional secretarial and administrative support to assigned attorneys, ensuring smooth workflow and efficient operations.
  • Manage and maintain attorney calendars, scheduling appointments, depositions, hearings, and meetings.
  • Prepare and proofread legal documents, including correspondence, pleadings, motions, and briefs. Keen attention to detail is required.
  • Draft and maintain accurate electronic case files. Familiarity with Worldox or Netdocs is a plus.
  • Assist with e-filing court documents. Experience with California and Federal e-filing systems is preferred.
  • Manage client intake, including opening new matters and processing billing information.
  • Answer phones and emails professionally, screen calls, and direct inquiries to appropriate personnel.
  • Monitor and maintain office supplies.
  • Communicate and coordinate with outside vendors, including monitoring assignments and invoice payment.
  • Perform other duties as assigned.

Qualifications:

  • Minimum of 3 years of experience as a Legal Secretary in a law firm setting.
  • Manage multiple tasks effectively and prioritize workload in a fast-paced environment.
  • Excellent written and verbal communication skills with a strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills.
  • Highly motivated, self-directed, and with a positive attitude.
  • Ability to work independently and as part of a team.
  • Minimum of 3 days per week in the office required.
  • Occasional after-hours availability required.
