Konnect Agency is seeking a Receptionist / Office Coordinator to work full-time from our Downtown Los Angeles office. This position is primarily responsible for managing the front lobby by greeting and welcoming visitors and notifying company personnel of visitor arrival, as well as managing the office and supporting the entire staff. This position reports directly to the VP of Operations and provides administrative support while maintaining a positive, can-do attitude.

Responsibilities include, but are not limited to:

  • Welcome visitors by greeting them in-person or on the phone
  • Answer, organize and prioritize calls for the entire company
  • Responsible for purchasing office supplies, kitchen supplies, snacks, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Maintain office supplies and equipment such as copy machines, scanners, postage, etc.
  • Receive, review, and sort all incoming correspondence. Distribute and handle external and internal mail efficiently and appropriately.
  • Prepare all outgoing mail and packages and arrange directly with carriers for them to be sent out on time
  • Assist PR team in packing boxes, creating mailing labels, and coordinating carrier pick-ups
  • Order supplies and materials for various company campaigns, initiatives, events, etc.
  • Manage conference room schedule and prepare conference room for guests
  • Responsible for ordering/picking up lunch, as needed

Education and Skills Requirements:

  • Minimum of 1 year of receptionist and/or office coordination experience
  • Ability to work in-office 3-5-days per week depending on agency needs
  • Strong communication, writing, and research skills
  • Exceptional phone skills with a friendly tone and mannerisms
  • Excellent organizational and multi-tasking skills
  • Able to work on multiple projects at once with the ability to prioritize tasks
  • Attention to detail is a must
  • Strong ability to solve problems and be resourceful
  • Great interpersonal skills
  • Takes direction well
  • Able to handle any/all confidential information, issues, and matters in a sensitive manner
