Monday and Tuesday are a must, flexible on other days to make a 24-30 hour work week

What you’ll do:

  • Manage AP/AR processes, including processing invoices, expense reports, payments, and account reconciliation.
  • Maintain accurate financial records and manage data entry in QuickBooks, ensuring timely and accurate reporting.
  • Assist in preparing monthly, quarterly, and annual financial statements and reports as needed.
  • Coordinate bank deposits, and monitor cash flow, resolving discrepancies as they arise.
  • Track and follow up on overdue invoices, supporting credit and collections efforts.
  • Handle general administrative tasks, including scheduling, correspondence, and maintaining office files.
  • Monitor and reorder office supplies as needed, managing vendor relationships and office purchases.
  • Provide additional administrative support to departments as required, including document preparation, scanning, and record-keeping.
  • Support HR and payroll processes, including assisting with timesheet collection and employee expense reimbursements.

What you need to have:

  • High school diploma or equivalent; an associate’s degree in accounting, business administration, or a related field is preferred.
  • Proven experience as an administrative assistant with bookkeeping responsibilities, especially in AP/AR functions.
  • Strong proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with basic accounting principles and prior experience with bookkeeping or accounting.
  • Exceptional attention to detail, organizational skills, and time management.
  • Ability to work independently, take initiative, and prioritize tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
