Position Information
We are seeking an Executive Assistant III, under direction, provides administrative support to high level administrators, including special events, projects, initiatives and programs. Provides leadership in planning, directing, and evaluating departmental operations. Functions as a high level departmental liaison to customers, and maintains interactions with high ranking officials within and outside of the University. Exercises discretion and independent judgment with respect to matters of significance.
Responsibilities:-Provides direct support to the Executive Associate Dean (EADean) for the College of Agriculture and Life Sciences. Drafts, manages and signs correspondence and communications on behalf of the EADean by logging into Teams mail log, and moving to folder for review and approval. Schedules appointments & meetings, heavy calendar management, manages office phone line, and coordinates EADean travel. Coordinate travel arrangements and creates itineraries, submits travel for approval and approves and processes travel reimbursements in the System's travel system. Creates, expense reports, allocates funding, itemizes and submits expenses from EADean's Travel Card.-Through coordination activities, assist EADean in faculty, department and college matters such as hiring,/credentialing, and unit evaluation. Send out calls for Retention of Tenure Requests, Post Tenure Review/Peer Review Requests, create reports and submit to faculty affairs.-Collaborate with Assistant Dean for Budgets to update Faculty Reappointment FAQs, reappointment letter templates and data, as well as mail merge for faculty reappointment letters.-Use Compass, DARS and other databases to access and develop informational summaries for the EADean.-Provide information and assistance as requested by administrators in the University, College. System Agencies as well as faculty,-Compiles reports, maintains records and other documents. Evaluates documents submitted for administrator's signature. Provides support for long-range planning and scheduling activities. Provides expert advice to management.-Formulate, Interpret, and implement policies, rules, and regulations. Acts as administrator's representative in dealing with internal and external third parties.-Communicates agency objectives, tasks, and decisions to staff, department heads and other leadership of behalf of the EADean. Researches and handles/coordinates special projects and events.-Coordinates and leads support for departmental functions, including planning, directing, and evaluating operations. Plans long and short-term business objectives.-Develop new process and SOPs for the department. Work with the 15 department head assistants to ensure the have access to the latest templates and information required for processes and procedures.-Makes arrangements for dignitaries and other distinguished visitors, as well as potential employees visiting the campus and welcomes them on behalf of the administrator. Arranges university social functions hosted by administrator.-Oversees the review and evaluation of administrative practices and programs and formulations policies. Conducts research for and briefs administrator prior to meetings and events by providing agendas, reports, and other necessary documents.
-Oversees the preparation of reports, manuals, and publications. Oversees the administrative assignments, programs, and other administrative matters. Coordinates and monitors action items for administrator.-Serves as liaison and point of contact for the administrator.-Coordinates work flow, supervises and evaluates the front desk administrative staff.-Assists in the resolution of complex, highly sensitive, and confidential administrative matters.-Identifies and recommends improvements for administrative procedures and makes evaluative judgments in implementing changes.-Coordinates monthly committee meetings as in the AgriLife Administrative Services Team (AAST) and the Deans Office Leadership Team (DOLT), prepares agendas, and organizes and tracks agenda items.-Serves as an Office Manager and backs up the front office administrative staff and student duties. Maintains and monitors budgets and has fiscal records management responsibilities.
Education and Experience:-Bachelor's degree in applicable field or equivalent combination of education and experience.-Six years of related experience.
Knowledge, Skills and Abilities:-Knowledge of word processing, spreadsheet, database, and presentation applications.-Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organizational skills.
