Description and Qualifications

The Donor Information Specialist facilitates the timely and accurate compilation of organ and tissue charts and the communication of required information to internal and external stakeholders.

ESSENTIAL JOB FUNCTIONS

Information Sharing

+

Collaborates with operational staff to ensure that the donor record is complete and accurate. Requests corrections and additional follow-up as appropriate.

+

Works with other organizations (Hospitals, eye-banks, physician offices, Medical Examiner/Coroners) in requesting relevant donor information including autopsy, toxicology, serology testing results, medical examiner and coroner's investigative reports, medical records, and microbiological cultures.

+

Ensures timely and accurate communication of relevant test results and other information related to patient safety to stakeholders.

+

Constructs the donor record in accordance with LifeCenter policy and applicable regulation and standard.

+

Responds to transplant center and tissue processor requests for additional information in a timely manner.

+

Notifies and collaborates with LifeCenter Quality and Regulatory Affairs department in identifying non-conformances.

+

Performs data entry of donor and recovery information to the LifeCenter Electronic Donor Management System and other databases.

+

Participates in regular performance review, tracking workflow and generates performance metric reports to ensure chart release/chart completion goals are met.

+

Assists in the development and delivery of chart completion training to operational staff.

+

Assembles donor recovery paperwork packets for operational staff.

+

Ensures that donor information is handled in a secure manner.

Chart Information Evaluation

+

Performs preliminary review of critical donor information including but not limited to serology testing, plasma dilution assessment, declaration of death, authorization for donation, and medical and social history.

+

Ensures that organ and tissue recovery documentation is complete, accurate and consistent with LifeCenter documentation practices.

+

Sorts and reviews medical records and completes final plasma dilution tissue charts. Resolves discrepancies in chart information.

+

Reviews autopsy/toxicology reports for contraindications to donation and correlation to donor recovery and medical records.

+

Regularly participate in weekend and holiday coverage for organ culture/pathology/virology review on a rotating basis.

+

Executes quality review of Organ and Tissue donor charts.

Coordinates with Organ Donation Services (ODS) and Tissue Donation Services (TDS) Leadership and staff to ensure accurate, timely review and closure of donor charts.

+

Develops tracking systems to identify and trend errors to provide timely feedback on charting errors and opportunities for process improvement.

+

Ensures data reporting compliance for regulatory agencies and works with operations staff to reconcile errors and omissions.

+

Assists in maintenance of controlled document systems. Aides in development and revision of Standard Operating Procedures in collaboration with departmental staff.

+

Assists in preparation for and participates in regulatory audits.

Collaborative responsibilities

+

Works closely with the Organ Recovery Services Managers, Quality Systems Manager, and Tissue Resource Managers to ensure compliance with all LifeCenter SOPs, and regulatory agency requirements.

+

Works closely with the Quality and Regulatory affairs team to streamline workflow, increase productivity, and creatively problem-solve.

Supervisory Responsibilities

This position has no formal supervisory responsibilities.

Performs other related duties as required by the needs of the company and the leadership team.

Physical Activities/Requirements

Travel out of the general work area is not generally required.

+

Position functions while sitting and/or standing, use of keyboard, telephone, and office equipment. The employee is required to be able to lift or move up to 35 pounds with or without assistance.

+

This position requires the ability to effectively operate phones, computers, and other office equipment.

+

The individual must have the ability to communicate clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.

+

Specific vision abilities required by this position include close vision and the ability to adjust focus.

+

Generally, working conditions do not require exposure to hazardous materials nor extremes in health and safety hazards.

Work is normally performed in an office or hospital setting, as well as other business environments.

ANTICIPATED WEEKLY TIME COMMITMENT

This position may require work outside of regular business hours, including holidays, evenings and weekends, sometimes without advance notice.

EDUCATION, EXPERIENCE & JOB REQUIREMENTS

+

A Bachelor's Degree is preferred though relevant work experience can be considered and substituted for academic requirements.

+

Documented training courses and/or certifications in Quality assurance are preferred.

+

2 years of industry experience that is related to donation, healthcare and or quality assurance is desired.

+

Proof of COVID-19 vaccination or applicable medical or religious exemption will be required as a condition of employment upon offer.

This position is eligible for additional compensation to the base pay rate in the form of overtime.

The pay range for this role is provided above. Where a candidate's compensation falls within this range is based on several bona fide factors such as experience, tenure, and other specialized knowledge.
