Position: Administrative Assistant - Mental Health Counseling Center.
Location: Fairmount Avenue, Jamestown, New York. Job Type: Full-time Salary: $18 - $25 an Hour Application Deadline: Till positions are filled.

We are currently seeking a Mental Health Counselor to join our dynamic team to provide emotional and administrative support to clients in either individual or group settings .
Position Overview: The Administrative Assistant will provide essential support to our counseling team and ensure the efficient functioning of our office. This role requires excellent organizational, communication, and customer service skills, as well as a compassionate approach to supporting individuals who may be experiencing mental health challenges. As the first point of contact for clients and visitors, you will play a key role in creating a welcoming and supportive environment.
Key Responsibilities:
Client Scheduling & Coordination: Manage appointment scheduling for clients, ensuring accurate and timely bookings, cancellations, and reschedules.
Client Intake: Greet clients, collect necessary documentation, and ensure client information is accurately entered into the system.
Communication & Support: Answer phone calls, respond to emails, and address client inquiries regarding services, insurance, and billing.
Administrative Support: Assist with maintaining client records, filing, data entry, and other general office duties.
Billing & Insurance Verification: Process billing, insurance verifications, and claims, ensuring timely submission and follow-up on any outstanding issues.
Office Maintenance: Help maintain an organized and clean office space, ensuring supplies are stocked and that the office environment is conducive to client care.
Collaboration: Work closely with therapists, counselors, and office management to ensure seamless service delivery and client satisfaction.
Qualifications:
High school diploma or equivalent required; associate degree or higher preferred.
Previous experience in an administrative role, preferably in a healthcare or mental health setting.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Exceptional communication skills, both written and verbal.
Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and ability to learn new software quickly.
Knowledge of insurance processes and mental health billing practices is a plus.
A compassionate, empathetic demeanor with a strong desire to assist others.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong attention to detail and a high level of professionalism.
