The Reentry Division within the Department of Corrections is looking to hire an Administrative Assistant 4. This position will be based out of DOC Headquarters in Tumwater, WA, but applicants statewide are encouraged to apply. This position will have the opportunity for some telework but will be in office at least three days a week.

The Administrative Assistant 4 provides confidential administrative support to the Reentry Center (RC) Operations Administrator who has direct responsibility for up to 7 Reentry Center Supervisors and their staff. The AA4 supports RC Operations Administrator to fulfill a wide range of complex duties and responsibilities by providing them with outstanding administrative support. The AA4 is a member of the Reentry Center management team and contributes to efficient and effective operations. The Department of Corrections contributes to staff and community safety and holds residents accountable in administering effective reentry programs through risk, need, responsive, and evidence-based supervision practices. The Reentry Division is aligned with the strategic plan and guiding principles of the Agency and continually seeks to improve public safety. The AA4 is considered a position of management and is responsible for contributing and directing community safety and public safety policies and practices while ensuring the work environment reflects the stated values of the Agency and exemplifies the highest standards of honesty, integrity, professionalism, and ethical conduct. This position supports the purpose statement of the Reentry Division by providing people focused opportunities for success.

Duties

Some of what you'll do as an Administrative Assistant 4:

Provides primary confidential administrative support to RC Operations Administrator:

Gather and organize project information prior to release; organize new or updated procedure to project completion; develop operational templates for use in tracking projects Research, draft, compose and/or edit reports, documents and correspondence. Schedule, coordinate and record meetings Submit and review contract employees' records checks to RC Operations Administrator. Prepares RC Operations Administrators' correspondence and records for archival. Organizes and maintains paper and electronic files. Review and coordinate supervisory reviews of policies in the drafting stage, soliciting, charting, and gathering cohesive responses to request for review. Reviews, screens, prioritizes, and distributes RC Operations Administrators' incoming mail. Review and identify critical correspondence for action, approval, and signature. Coordinates and maintains the RC Operations Administrators' Outlook calendar and contact list. Track and follow up on special projects and requests. Exercise's decision-making authority and use of good judgment in handling matters. Provide office-wide administrative support:

As needed and as available, assist supervisors with HR documents, recruitment, and interview panel member. Provide LID support for Reentry Division and assist with LID support for other divisions as requested. Handle training and conference attendance, assisting with travel arrangements, as needed.

Recruitment support:

Coordinate plans and schedules for hiring/interviewing/selection process. Prepare Recruitment Files. Schedule interview appointments.

Qualifications

Required Qualifications

High school diploma or equivalent

AND

four (4) years of progressively responsive experience in office/clerical, secretarial, or general administrative work OR

Associates degree

AND

three (3) years of progressively responsible experience in office/clerical, secretarial or general administrative work OR

Two (2) years as an Administrative Assistant 3 (AA3)

Knowledge, skills, and abilities: Intermediate level of proficiency in Microsoft Word and Microsoft Outlook. Basic level of proficiency in Excel and PowerPoint. Developing level of proficiency in Microsoft SharePoint, Visio, and Teams. Proven ability to effectively communicate verbally and in writing. Proven ability to maintain confidentiality of information. Demonstrated ability to work and make decisions independently. Perform responsible administrative and secretarial support work with accuracy, efficiency, with little supervision. Provide varied, responsible secretarial and office administrative work requiring the use of tact and discretion. Respond to and effectively prioritize multiple tasks, phone calls, customer requests and other miscellaneous demands as necessary for assigned responsibilities. Understand and carry out oral and written directions.

Preferred Qualifications

Bachelor's degree in Business Administration, Public Administration, or closely related field

AND

two (2) years of administrative assistance experience OR

Five (5) years' experience in an upper-level administrative support position with progressively responsible experience in office/clerical, secretarial or general administrative work

AND

three (3) years supervisory experience.

Holidays Full-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.

Note:

Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.

Part-time employees who are in pay status during the month of the holiday qualify for the holiday on a pro-rata basis. Compensation for holidays (including personal holiday) will be proportionate to the number of hours in pay status in the month to that required for full-time employment, excluding all holiday hours. Pay status includes hours worked and time on paid leave.

Sick Leave Full-time employees earn eight hours of sick leave per month. Overtime eligible employees who are in pay status for less than 80 hours per month, earn a monthly proportionate to the number of hours in pay status, in the month to that required for full-time employment. Overtime exempt employees who are in pay status for less than 80 hours per month do not earn a monthly accrual of sick leave.

Sick leave accruals for part-time employees will be proportionate to the number of hours in pay status, in the month to that required for full-time employment. Pay status includes hours worked, time on paid leave and paid holiday.

Vacation (Annual Leave) Full-time employees accrue vacation leave at the rates specified in (1) or the applicable collective bargaining agreement (CBA). Full-time employees who are in pay status for less than 80 nonovertime hours in a month do not earn a monthly accrual of vacation leave.

Part-time employees accrue vacation leave hours in accordance with (1) or the applicable collective bargaining agreement (CBA) on a pro rata basis. Vacation leave accrual will be proportionate to the number of hours in pay status, in the month to that required for full-time employment.

Pay status includes hours worked, time on paid leave and paid holiday.

As provided in , an employer may authorize a lump-sum accrual of vacation leave or accelerate the vacation leave accrual rate to support the recruitment and/or retention of a candidate or employee for a Washington Management Service position. Vacation leave accrual rates may only be accelerated using the rates established WAC 357-31-165.

Note:

Most agencies follow the civil service rules covering leave and holidays for

exempt

employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave.

Military Leave Washington State supports members of the armed forces with 21 days paid military leave per year.

Bereavement Leave Most employees whose family member or household member dies, are entitled to three (3) days of paid bereavement leave. In addition, the employer may approve other available leave types for the purpose of bereavement leave.
