Summary
The Secretary/Registrar provides secretarial and administrative support to the Administration; effectively communicates information to students, parents and staff; and ensures compliance with legal and administrative requirements of the school division.
Essential Duties and Responsibilities
include the following.Provide support to the Administration and school by answering phones, directing calls, and greeting visitors.Responds to a wide variety of internal and external parties (staff, parents, public agencies, etc.) for the purpose of providing information and facilitating communication among departments as may be required.Serves as registrar for new/transferring students. Originates and maintains all student records files and forwards complete and accurate files for withdrawing students.Input student information into the database and ensure accuracy of records.Manage office by maintaining an efficient and safe working environment.Track court orders regarding student custody issues and disseminate confidential information to building personnel involved.Screen visitors entering school by following proper sign in/sign out procedures.Maintains a variety of computerized and manual records, files and department databases for the purpose of documenting activities, providing reliable information for district, state and federal requirements.Distribute mail in staff mailboxes and ensure compliance with postage regulations.Monitors and updates daily parent pick-up changes.Performs any other duties that may be assigned by the Superintendent, or designee.
Qualifications
High school diploma. Must be able to work well with others. Proficient computer skills. Knowledge of Microsoft Office Suite to include Word, Powerpoint, and Excel.
Education and/or Experience
High school diploma or equivalent.
Language Skills
Must be able to communicate clearly, orally and written. Must be fluent in English and have good grammar skills.
Mathematical Skills
Must have all basic math skills i.e. addition, subtraction, multiplication and subtraction.
Reasoning/Other Abilities
Ability to handle multiple tasks and deadlines with frequent interruptions. Ability to maintain confidentiality in all aspects of the job.
Physical Demands
Able to walk to all points in the building. Normal vision and hearing. Work involves limited physical tasks. Must be able to lift/move up to 25 pounds.
Work Environment
Must maintain a professional appearance. Must keep the office area and work area neat and orderly.
Evaluation
Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
