Purpose:
The job of the High School Counseling/Registrar is to complete student enrollment and withdrawal activities, maintain accurate student records, provide a variety of reports and reference materials, and ensure compliance with District, State and Federal guidelines.
Duties:Serves as confidential secretary to the high school counseling department, including keeping track of schedules, appointments, and counseling calendar. Has access to and processes confidential information regarding students, staff, and school district issues while observing data privacy requirements.Assists counselors and administration in developing the master schedule each semester.Compiles student records (i.e. birth certificates, transcripts, transfers, immunization, etc.) for the purpose of meeting State, Federal and/or District requirements.Maintains a variety of manual and electronic student records (i.e. grade checks, cum files, test scores, student information, etc.) for the purpose of providing up-to-date reference and complying with regulatory requirements and established guidelines.Performs enrollment activitiesPrepares standardized documents and reports (i.e. form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of communicating information to other parties and/or agencies.Processes a variety of documents and materials (i.e. new registrations, transcripts and transcript requests, student employment verifications, withdrawals, etc.) for the purpose of disseminating information to appropriate parties.Mailings and website maintenanceProvides a variety of documents (i.e. transcripts, ACT scores, college applications, etc.) for the purpose of assisting present and former students and/or their parents.Researches discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information.Responds to questions from a variety of internal and external sources (i.e. staff, other educational institutions, the public, parents and/or students, etc.) for the purpose of providing information and/or direction.Verifies student related data (i.e. grades, information, etc.) for the purpose of ensuring the accuracy of the student records.Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions.Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.Successfully handles changes in assignments and functions effectively with a demanding work load.Exercises confidentiality and displays loyalty and integrity.Excellent attendance and punctuality a must.Ability to translate/interpret Spanish; both verbally and in writingProfessional Qualifications:
High School Graduate or equivalentThree (3) years preferred in a secretarial/administrative support position, preferably in a K-12 environment.Proven ability to work independently; effectively performs as a self-starter, using independent decision making appropriately. Understands the importance of confidentiality in working with staff, students and parents.Demonstrated ability to relate to and work effectively with students, staff, parents, community, officials, and other school districts on a regular basis.Demonstrated skills in appropriate software applications (i.e. MS Word, MS Excel, MS Publisher, MS PowerPoint, Schoolmaster), and ability to learn new software/hardware as needed.Outstanding written, verbal and customer service skills (both over the phone and in person).Thorough knowledge of business English, spelling and math.Ability to work independently in the absence of specific instruction.Ability to interpret and apply policies and procedures.Demonstrated ability to communicate effectively with a wide variety of individuals.Proven ability to positively participate in a fast-paced team environment.Ability to handle frequent interruptions while carrying out assignment in a pleasant and professional manner.Ability to perform duties in an efficient and organized manner.Ability to adapt to a variety of situations and to remain calm under stress.Portrays positive attitude, initiative and responsibility to the EHS staff.Understands and carries out oral and written directions efficiently and effectively.Supports and implements Eastmont School District policies, regulations, procedures and administrative directives.Deals with obstacles and constraints positively.Demonstrates ability to adjust to and use new approaches in the performance of his/her duties.Seeks and takes advantage of opportunities for professional growth.Maintains dress and appearance appropriate to a professional office setting.Promotes good staff morale and works harmoniously with fellow EHS staff.Bilingual required.Physical Requirements:
