We are looking for an organized, proactive, and detail-oriented Executive Assistant & Office Manager to provide critical support for our Colorado office. This is an exciting opportunity to join a high-performing team within a growing office.
Role Overview:The Executive Assistant & Office Manager will play a pivotal role in supporting the daily operations of senior leadership while managing a range of administrative and office management tasks. This individual will provide comprehensive support to 2-3 executives, balancing traditional executive assistant functions with hands-on office management and operational duties. The role requires a flexible, service-oriented approach and a passion for providing excellent support to executives and ensuring smooth office operations.
Key Responsibilities:
Executive Support:Manage the calendars of Market President(s) and Senior Vice President of Employee Benefits.Arrange and coordinate meetings with clients, partners, and internal teams, ensuring clear communication and timely follow-up.Organize and manage travel arrangements, including flights, accommodations, transportation, and itineraries.Process and track expenses, ensuring proper documentation and timely submission.Assist with preparation of meeting materials, presentations, and reports as needed.Aid in operational project work, directed by senior leadership.Office Management:
Collaborate with shared services for administrative support needs.Coordinate office logistics including supply ordering, building management, and maintaining an efficient office environment.Address basic IT needs and support the team in troubleshooting office equipment and systems.Oversee day-to-day operations of the office and provide any necessary support to ensure a smooth and productive work environment.Support the planning and execution of local events, client events, carrier lunch-and-learns, and team-building activities such as Day of Service.Required Skills & Experience:
5+ years of experience in an executive assistant or office management role (or equivalent transferrable experience).Strong organizational skills with the ability to handle multiple priorities and deadlines.Exceptional attention to detail, with a focus on accuracy and efficiency.Excellent verbal and written communication skills, with the ability to interact with executives, clients, and team members professionally.Proficiency in office software (Microsoft Office Suite, Google Suite, etc.), with basic IT troubleshooting skills a plus.Proven experience managing calendars, travel arrangements, and expenses for multiple executives.Ability to maintain confidentiality and exercise discretion in handling sensitive information.Self-starter with the ability to work independently and as part of a team.Passion for delivering excellent service and providing high-level support to executives.Positive, can-do attitude with a problem-solving mindset.Education:
Bachelor's degree or equivalent work experience preferred, but not required.Location and Work Schedule:
Denver, ColoradoMonday-Friday: 8am-4:30pmOnsite 4 days per week, remote 1 day per week
This compensation range is specific to the State of Colorado and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and delivery model. In addition to your salary, The MJ Companies offers benefits such as, a comprehensive benefits package and 401k contribution (all benefits are subject to eligibility requirements). An estimated base salary range is $60,000-$85,000, based on experience and market.
