Office Manager/Executive Assistant
Key Responsibilities
Office Management•Serve as the main contact for daily office needs.•Build out new office space by working with all necessary vendors.•Manage all aspects of space/infrastructure layout and planning.•Manage office supplies and services as needed.•Send and receive mail and shipments/packages.•Assists with the orientation and onboarding of new employees.•Troubleshoot IT issues with computers and other equipment.•Foster a productive, team-oriented environment.•Manage vendors and handle contract negotiations.
Executive Support•Coordinate meetings, schedules, events and calendar management.•Prepare and process expense reports and invoices.•Prepare reports, presentations, correspondence, agendas, meeting minutes, and other documents.•Handle travel arrangements for flights, hotels, and preparing itinerary.•Manage meeting logistics such as food service or video conferencing.•Organize, prioritize, and effectively handle time-sensitive, confidential information.•Performs other related duties as assigned to meet the needs of the business.
Qualifications•5-7 years of administrative support and office management experience•Strong Microsoft Office suite skills and computer skills•Critical thinking (analysis, synthesis, reasoning, evaluation, etc.)•Excellent oral and written communication skills•High flexibility and adaptability•Strong problem solving and decision making•Organized, detail oriented, and results focused•Solid time-management skills with the ability to prioritize tasks•Strong interpersonal skills to include strong customer focus•Ability to maintain highest degree of confidentiality•Strong integrity, judgment, maturity, and professionalism•Ability to work proactively and independently•Must exhibit organizational awareness and resourcefulness•Must be able to maintain focus and to see tasks through to completion
