Duties and ResponsibilitiesProvides professional administrative support for the daily operations of the Campus Resource and Service Center (CRSC) and independently handles routine to moderate tasks.
Works closely with CRSC staff and campus units to gather, verify, and provide consistent and accurate information to constituents. Reviews, analyzes and prepares administrative, fiscal and personnel related documents. Ensures appropriateness and propriety, identifies problem areas and resolves discrepancies.
Services customers in a positive, professional and timely manner. Addresses concerns and issues expressed by individuals within the University community and general public, and effectively problem-solve through collaboration and communication to determine appropriate action or response.
Oversees and manages office operations including but not limited to supervising assigned student assistants, establishing and determining office procedures, scheduling appointments, greeting and screening visitors. Determines disposition of incoming correspondence and mail, prepares documents, develops and maintains an effective filing system, etc.
Coordinates, prioritizes and performs complex, confidential support services for the Director, having extensive contact with individuals such as senior management, faculty, staff and colleagues from institutions, agencies and the community.
Ensures compliance with applicable laws, rules, policies, procedures and practices. Keeps abreast of new policies, and applicable changes to protocol in a timely manner. Assists the Director with professional work including writing/drafting reports, research & analyses of information, and careful & thoughtful planning and coordination of efforts & details.
Serve as project leader and plans/facilitates meetings with appropriate parties to accomplish goals & objectives + assists in developing & implementing action plans.
Works closely with the CRSC staff to provide high level of customer service. Fosters and develops effective working relationships with campus departments and the community.
Provides appropriate training and informational sessions to campus stakeholder groups, as necessary. Keeps abreast of University news, events, and national trends for the office. Conducts CRSC developments, coordination and implementation to fulfill the objectives of the office with a high level of customer service Prepares and coordinates responses to customer requests, including but not limited to e-mail or other electronic means to meet their needs and resolve issues.
Serves as backup (as delegated) during the absence of the Director of Campus Resource and Service Center.
Identify frequent and repetitive inquires to the office to determine any underlying issues that may exist and collaborate with appropriate units to resolve or minimize future concerns.
Organize and participate in outreach efforts to inform and educate the University community on the services provided by CRSC.

Minimum QualificationsPossession of a baccalaureate degree in business administration, communication, or related field and 3 year(s) of progressively responsible professional experience with responsibilities for customer service, business administration, human resource administration, communication, public relations, and/or related field; or equivalent education/training or experience. Considerable working knowledge of principles, practices and techniques in the field of business administration as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with business administration. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals. Demonstrated ability to operate a personal computer and apply word processing software. For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations. Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Demonstrated ability to establish and identify priorities and organize resources. Demonstrated ability to effectively resolve issues in a collaborative and professional manner. Experience providing high level of customer service. Demonstrated ability to develop creative options and solutions to problems. Familiarity with social media sites (Facebook, Twitter, Instagram, Flickr, etc.) Proficiency in Microsoft Word, Excel and PowerPoint programs.
Desirable QualificationsExperience providing high level of customer service. Knowledge of University of Hawaii and the applicable laws, administrative rules, policies, procedures, guidelines, and practices. Experience working in a higher education environment. Familiarity with the institutional culture and structure of the University system, particularly of the University of Hawaii at Manoa campus. Flexibility and creativity in effective problem-solving on a campus-wide scale.
