As a movement operations organization, we believe in building thoughtful systems that support a people-powered movement. Providing backend support to our partner organizations increases their ability to build power and fight for justice in working-class communities of color.Position Overview:The Contracts Administrator is responsible for intake, review, and overall management of consultant and vendor contracts, leases, and MOUs for the RS network of 60+ partner organizations. The Contracts Administrator administers all RS and partner contracts through the contract lifecycle from intake to completion. This process includes management of our contracts management software, direct communication with and training of partner organization staff, and coordinating RS departments (HR, Legal, Compliance) in the review and approval process. The successful candidate is someone who is customer service and detail-oriented, thrives in managing and improving systems, and who is able to distill and share complex information to a wide range of audiences. This role would not manage government contracts or grants. The Contracts Administrator reports directly to the Partnerships Director.Roles and ResponsibilitiesManage Contract Systems and Workflow Improvements (15%)
Maintain the overall contracts process and technology we use, including developing and maintaining documentation of our workflows and systems as they changeThis staff member will maintain a centralized database for tracking contract statuses, ensure contract templates are properly filed and accessible to partner organizations, and that contract documentation is up to date and accurate in our network handbook, contract resource materials, intranet, and other locations as relevant per process requirements. Organization of records and documents, filing, and data entry will be key to this position.
Intake, Review, and Triage Contracts (60%)
This person will manage our contract intake software, and ensure that organizations submit contracts in the proper format, and guide them to make necessary correctionsThis position will maintain comprehensive knowledge of RS’ contracts review policies, reviewing and analyzing all partners’ contractual documentation to ensure compliance with applicable regulations and RS guidance.Engage RS departments (HR, Legal, and Compliance) to support the completion of contracts, including identifying and escalating complex questions or issues to the appropriate departmentsProvide training and support to network partners, assessing and addressing learning areas to support partners successful engagement with our contracts process
Insurance and Lease Management (20%)
Manage all RS insurance policies and lease agreements, including all renewals, adding and changing policies, and adding new partner organizations to appropriate policiesManage Certificates of Insurance requests from partner organizationsWork with the RS Compliance team to file claims as needed and to understand what coverage applies to areas of risk that are raised.
Administrative Projects (5%)
Manage special projects as assigned to support RS’ overall Administrative systems
Required Qualifications2 to 5 years comparable experienceDemonstrated ability to manage multiple requests and competing priorities, with the ability to recognize and escalate issues when appropriate.Strong communication and customer service skills - translating complex or legal information to diverse audiencesDetail-oriented - comfortable with numbers, noticing mistakes, proofreading documentsDemonstrated basic understanding of nonprofit complianceExperience with project management or designing and improving workflowsPreferred QualificationsExperience designing and delivering trainings a plusExperience with Airtable a plusParalegal or equivalent experience a plusUnderstanding of fiscal sponsorship a plusWork Environment / Physical DemandsThis position will work out of Oakland; Hybrid work schedule of 2 days in-person / 3 days work from home; open to remote placement for folks who can travel to the bay area regularly (4 times per year). This position is full-time, and has an estimatedannual salary of $60,000 - $75,000.
