Core Responsibilitieso
Respond to phone calls, emails and texts, and direct them appropriatelyo
Monitor and manage emails, letters, packages, phone calls and other forms of correspondenceo
Document interactions with clients and technicians within our CRM in detailo
Support company bookkeeping and job costing procedureso
Track and replace office supplies as neededo
Monitor the scheduling of maintenance contractso
Prioritize new jobs and/or tasks as they come ino
Maintain up-to-date recordso
Assist with miscellaneous projectso
All other administrative duties such as filing, data entry, copying, scanning, etc.
Day-to-day Activitieso
Track daily project schedules for technicianso
Track project statuso
Data entryo
Generate preliminary invoices
Requirementso
Proficiency in Google Apps such as Google Drive, Google Docs and Google Sheets and basic computer softwareo
Proficient in managing schedules and in using Google Calendaro
Top-notch verbal and written communication skills with proper grammar and spellingo
Ability to work in an environment that is sometimes frenzied and sometimes calm, with minimal supervisiono
Self-sufficient, well organized, exceptional work ethic to meet deadlineso
