Duties and Responsibilities*Orients, trains, supervises, directs, and evaluates subordinate APT and student personnel to assure accountability & stewardship of resources in compliance with departmental/project goals & objectives.*Participate in the formulation of program operational plans, including writing of internal program controls.Plans, develops, implements and coordinates marketing strategies with community partners to recruit program participants and enhance program outcomes.*Provides administrative, fiscal, and program management analysis support to project faculty and staff.*Reviews, authorizes and initiates procurement of equipment & supplies, including preparation of specifications and securing appropriate bids from vendors.*Maintain accurate account of project budget information and expenditures, develop financial spreadsheets, and perform regular audits and reconciliations as necessary.*Review monthly expenditures. Work closely with ORS to generate monthly invoices ensuring compliance with funding agency's requirements.Prepare, facilitate, and/or process purchase orders, direct payments, travel requests/completions, contracts, stipends and other related procurement and fiscal activities in compliance with agency and University rules and regulations.Coordinate, plan, and direct, in conjunction with the project director, meetings, conferences, workshops & major training events, including assisting with developing agendas, managing participant registration, & identifying key stakeholders/attendees.Keep abreast of current University policies, procedures, regulations, directives and State and Federal statutory requirements, i.e., Hawaii Revised Statutes, Hawaii Administrative Rules, and Federal Acquisition Regulations.Prepare and edit reports, agendas, letters, and complex documents such as quarterly reports that require specific formatting; and gather, interpret and analyze terminology and research for project requirements.Assist in the preparation of grant applications by formulating budgets, proofreading budget narratives, and working with the CDS Fiscal Authority to ensure MyGrant submission is timely and accurate.Establish and maintain large databases for associated programs.Review university generated computer reports for accuracy. Compile, analyze, develop and provide financial information and other activity reports to system administrators, auditors, and funding agencies as required.Responsible for online scheduling of departmental facilities for meetings, trainings, or other events.Other duties as assigned.*Denotes essential functions
Minimum QualificationsPossession of a baccalaureate degree in Business Administration or related field and 3 year(s) of progressively responsible professional experience with responsibilities for Business Administration/Management or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated..Considerable working knowledge of principles, practices and techniques in Business Administration/Management demonstrated by the broad knowledge and understanding of the full range of pertinent standard and evolving concepts, principles and methodologies.Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories systems associated with Business Administration/Management.Demonstrated ability to recognize a wide range of intricate problems, use reasoning and logic to determine accurate causes, and apply principles and practices to determine, evaluate, integrate, and implement practical and thorough solutions in an effective and timely manner.Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.Demonstrated ability to operate a personal computer and word processing software.For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.Experience with electronic financial systems such as Kuali and RCUH.Ability to travel independently to various geographical site/school locations, including neighbor island travel, in a timely manner, and work on some weekends for project-related activities.Desirable QualificationsPossession of a Master?s degree in Business Administration or related field.Experience working with persons with disabilities, including those who are deaf or hard of hearing.
