Work Schedule8:00 am - 5:00 pm; Monday - Friday with occasional and weekend hours required, as necessary.

Primary Purpose of PositionThis position provides front office reception and general administrative support including: greeting customers and/or guests; answering incoming telephone calls; handling incoming / outgoing mail; calendar management for both the AVC and conference rooms; purchasing office supplies; assisting with the preparation of all travel paperwork for AVC team; assisting with the coordination of FM events and/or guest visits (e.g.: travel arrangements, vehicle reservations, Chartwell orders, etc.) and other duties at the request of the Executive Assistant and other associated parties.

Minimum Education/Experience

Required Minimum Qualifications:

Graduation from high school; or an equivalent combination of education and experience.

University Preferred Qualifications:

Journey: Graduation from high school, or completion of its equivalency, and two years of office/clerical work experience; or an equivalent combination of training/experience..

Essential Job DutiesGraduation from high school or GED equivalency, and two years of office/clerical work experience; or an equivalent combination of training/experience required.Two years' administrative support experience preferred.Ability to multi-task and remain calm and composed in high-stress situations.Ability to effectively communicate the English language (reading, writing, interpretation and comprehension) required.Ability to follow written and verbal instruction.Effective skills in verbal, written and interpersonal communications.Computer literacy is required.Knowledge and skill with Google Chrome, Microsoft Office Suite and willingness to learn new programs.Purchasing Software ExperienceAbility to effectively work/interact with persons from different backgrounds and cultures.Ability to foster and create an atmosphere of teamwork.Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodations.Front desk reception (answer phones, answer AVC email, handle incoming and outgoing mail, respond to walk ins)Purchasing for FM AVC Office (office supplies, catering invoice, etc.)Travel planning, logistics, and approvals AVC team and directorsSpace and Conference room reservations for AVC team

Necessary Licenses or CertificationsValid driver's license. Administrative Support Specialist may operate assigned vehicles on and/or off campus and must possess, maintain, or obtain a valid driver's license upon appointment to the position.
