Your role in our success:
Performs complex administrative tasks requiring independent judgement, familiarity with business operations and a considerable knowledge of administrative processes and associated software while requiring little supervision.Assists the Manager and Supervisor in maintaining efficient and effective daily operations, generates reports, and provides proofing and editing of internal and external communications, Invoicing, Accruals, and Records Management.Assists with tracking and documentation of regulatory obligations. Keeps meeting notes to prepare and distribute summaries and follow up action lists. Fully supports Pipeline Operations and Engineering teams and provides backup assistance to Administrative Support Specialist. Administers Work Management System, Maintains Compliance Records, Accruals.

Assists with the dissemination of changes made in the operations and procedures manuals.Processes records or submittals of damages to the damage Prevention Department, and SMDS notifications.Assisting all operations personnel with contractor invoices.Assist with management of weekly schedules, departments on call and PTO schedules.Responsible for setting up vendors and processing company bid requests.Performing all other duties as assigned by Gas Operations Supervisor, invoicing, daily filing of operational records.Performs data entry for compliance in company record systems, interacts and supports technicians.Responsible for asset management records with GIS.Assists with processing and downloading meter reading and monthly reporting.Assists with line locating ticket activity.Assisting with dispatch operations as needed with Emergencies and Daily workload.Assists with Cares Event planning.Procurement Cards processing.Accruals South Florida.Allocating damages.Assisting with warehouse invoices.Create reference numbers for damages reported and activate with payroll.Assist to coordinate building maintenance.Coordinate fleet appointments and repairs.Who you are:
You have a high school diploma or equivalentYou have one to three years of clerical and office experienceYou have a valid Florida Driver’s LicenseYou possess excellent internal and external communication skillsYou have excellent clerical, writing and math skillsYou have knowledge of basic inventory maintenance proceduresYou have a working knowledge of spreadsheets, MS Office products SAP and FPU databasesAbility to understand and apply Accounting Principles.
