Job Description
We are seeking an experienced Administrative Specialist to support various administrative functions. The role involves entering purchase requests, time and attendance reporting, drafting memos in Army format, assisting in facilities requests and office moves, aiding with secure areas, providing meeting support, and handling visitor processing, paperwork, logistics, parking, meals, and check-in table duties. The Administrative Specialist will supervise clerical and administrative personnel, set departmental goals and deadlines, manage records, and recommend improvements to policies or procedures. The role also involves monitoring the facility to ensure safety, security, and maintenance, overseeing machinery and equipment repair, and ensuring compliance with environmental, health, and security standards.
Responsibilities
Enter purchase requests, time and attendance reports, and memos in Army format.
Assist in facilities requests and office moves.
Help with secure areas and provide meeting support.
Handle visitor processing, paperwork, logistics, parking, meals, and check-in table duties.
Supervise clerical and administrative personnel.
Set goals and deadlines for the department.
Develop, manage, and monitor records.
Recommend changes to policies or procedures to improve operations.
Monitor the facility to ensure safety, security, and maintenance.
Oversee maintenance and repair of machinery, equipment, and systems.
Ensure compliance with environmental, health, and security standards.
Essential Skills
5 years of administrative support experience.
Expertise in MS Suite.
Active Secret Clearance required.
Background in government or non-government sectors.
Additional Skills & Qualifications
Experience in administrative support, administration, and administrative assistance.
Proficiency in reporting, purchase orders, invoice processing, and clerical administration.
Skills in PPT, data entry, and clerical tasks.
Work Environment
The position follows a Monday to Friday, 8am-5pm schedule. Initial training will be on-site, with a hybrid work environment thereafter. The candidate must be able to attend in-person meetings as required.
