**HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:**

+ The Admin Assistant III will provide a full range of recruitment and administrative support to recruiters, program managers, outreach, language and other support officers throughout the hiring process and work closely with management, business partners, and recruiters as applicants are screened and processed for COE into the Sponsor Directorate.

+ The AA will primarily support the Advertising and Outreach Group. The office is comprised of ten (10) team members located in Chantilly, VA.

+ The AA will interact with mid-level personnel on a daily basis and at times be required to work special projects for senior management

+ The AA is expected to have or quickly become up-to-speed in using sponsor specific phone systems, Sponsor Action Tracking System, Intermediate Outlook, Intermediate Excel, SharePoint, Sponsor Access Request System, COGNOS, Sponsor Travel Systems, Sponsor Event Management System, and scanner in support of the day-to-day duties associated with the processing of PRE-COE applicants and outreach activities

+ The AA will provide a full range of recruitment support throughout the hiring process and will include interfacing with applicants over the phone or via written correspondence

+ The position will focus on outreach coordination including identifying schools/venues to target in concert with TC as well as set up event and planning events for recruiters

+ AA will be expected to assist qualified applicants in transmitting and filing pre-coe paperwork

+ The AA will need to provide support to the Foreign Language POC by proctoring foreign language exams

+ The Admin Assistant will need to create and maintain a spreadsheet to track various status' that fall upon language applicants, to include how long in the hiring process from application to language test, etc

+ The AA will need to have effective problem solving skills, excellent communication skills (oral and written), be detailed oriented and have superior customer service skills

+ The AA must be comfortable conducting database searches, completing data entry, and performing other tasks using various programs/applications/equipment including, but not limited to any applicable databases associated with the PRE-COE and outreach processes

+ The AA must be able to think critically, be detail oriented and communicate effectively (both orally and written) to ensure effective and efficient review of written application materials for applicants

+ The AA will be required to communicate with applicants on a daily basis; must be able to work under specific deadlines and be flexible and open to changing levels of work depending on the number of applicants that come into the system on any particular day

+ Must accurately decipher, convey the workflows of the applicant to management or team members to communicate priorities and required processes or forms to ensure smooth workflow throughout the entire pre-COE process of hiring sponsor offices may communicate with representatives from other sponsor offices regarding the processing of applicants

+ Conversations must be held in a professional manner and with an honest "customer service" attitude to portray a positive impression and encourage cross-team support and relationships among offices

+ The Administrative Assistant III (AA) will need to be flexible and manage competing priorities as well as have a willingness to take on additional duties as mission dictates

+ The AA will be expected to maintain a calm and positive demeanor at all times while communicating with applicants and business partners

+ The duties of the AA are transactional in nature and require discretion and the ability to work both independently and within a team

+ Any training needed will be provided by sponsor.

**WHAT YOU'LL NEED TO SUCCEED:**

**The position requires an active Top Secret/SCI with Polygraph security clearance**

+ The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

+ The core hours are from 9:00 am-3:00 pm, flex schedule may be considered on a case-by-case basis

+ Candidate must be able to operate in a team environment as well as successfully work on their own

+ This position is on customer site in the Chantilly area

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
