The role of the Customer Service/ Data Entry Clerk position is to work cooperatively with the outside sales team and other members of the Phoenix Sales and Service Team in Accounting, Shipping and Receiving, etc. to ensure that our customers receive excellent customer service and prompt resolution of inquiries.

RESPONSIBILITIES

· Obtain quotes from Vendors for our Customers on a daily basis using MAS Sage 100 and outlook

· Enter Vendor pricing and delivery information into our MAS Sage 100 system

· Enter sales orders and purchase orders in MAS Sage 100 on a daily basis

· Send Proforma invoices to customers that require pre-payment

· Use credit card software as needed

· Arrange shipping for incoming orders

· Work with Engineering as needed on product development

· Review open Purchase Orders on a monthly basis

· Review open Sales Orders on a monthly basis

· Send monthly sales reports to Management

· Assist in scheduled physical inventory counts

· Maintain proficiency in using tools such as the PC, the MAS Sage 100 system, and any other office hardware and software.

· Conduct business in a professional manner at all times with co-workers, customers, and vendors/suppliers

· Responsibilities also include negotiating price, terms and conditions, and other requirements that arise in the course of the day-to-day work

· Maintain a customer focus to source high quality parts and components at competitive prices while meeting customer delivery schedules.

· Demonstrate an understanding of a customer's requirements for product, delivery requirements, and any other special needs that might require sourcing from various potential suppliers.

· Handle follow up calls and correspondence.

· Follow company policies and procedures.

· Manage time effectively

· Excellent communication skills both verbal and written.

· Cover vacation schedules when necessary

· Any other duties assigned by management

· Must be a team player

Must be proficient in Microsoft Outlook, Word and Excel and familiar with on-line portals
