PRIMARY FUNCTION:
In keeping with the Mission Statement and Principles of Covenant House, the Director of Operations is responsible for overseeing the day-to-day operational functions of facilities, ensuring a safe, secure, and clean environment while maintaining budgetary controls. This includes managing maintenance, security, janitorial services, food services, and building inspections to meet both operational and safety standards. The Director of Operations will work closely with the Chief Program Officer to develop and execute strategies that improve operational efficiency and facility performance. Essential Duties and Responsibilities - Key Responsibilities: Maintenance Management:
Oversee the maintenance operations for all buildings and facilities, ensuring that all systems (HVAC, electrical, plumbing, etc.) are functioning optimally. Develop and implement a preventive maintenance program to reduce downtime and repair costs. Coordinate with maintenance staff and contractors for repair and service needs. Ensure compliance with local, state, and federal regulations regarding building safety and maintenance.
Security Oversight:
Manage and supervise the security services for the facility, ensuring the safety and security of the building, personnel, and assets. Coordinate with security teams to implement effective security protocols and monitor surveillance systems. Develop and conduct regular safety drills, including fire, emergency evacuation, and lockdown procedures. Respond to security incidents and work closely with law enforcement as necessary.
Janitorial Services:
Oversee and manage janitorial services to maintain cleanliness and hygiene standards across all facilities. Develop cleaning schedules and ensure staff adherence to cleanliness standards, including common areas, restrooms, and office spaces. Conduct regular inspections to ensure cleanliness and compliance with health and safety standards. Collaborate with vendors or in-house teams to source cleaning materials and equipment.
Food Services:
Oversee daily operations of in-house food service operations, including cafeterias, vending areas, or catered events. Ensure that food safety and quality standards are met, including adherence to local health codes and regulations. Collaborate with food service vendors and contractors to ensure efficient and cost-effective service delivery. Manage food service budgets and ensure cost-effective purchasing practices.
Budgeting and Financial Oversight:
Develop and manage the annual operations budget, including maintenance, security, janitorial services, and facility-related expenses. Monitor and control operating expenses to ensure cost-effectiveness and alignment with the budget. Prepare reports on budget performance, operational costs, and savings opportunities. Identify cost-saving initiatives while maintaining high-quality services and facility standards.
Building Inspections and Compliance:
Conduct regular inspections of facilities to ensure that all equipment, systems, and structural elements meet safety and quality standards. Ensure all buildings comply with local, state, and federal regulations, including OSHA and other relevant codes. Coordinate and track building inspections, certifications, and required maintenance to ensure compliance. Work with external inspectors, contractors, and regulatory agencies to address any issues or deficiencies. Manage relationships with third-party service providers, including maintenance contractors, security companies, and janitorial services. Ensure service level agreements (SLAs) are met and that services are delivered efficiently and effectively. Review contracts, negotiate pricing, and manage vendor performance. Supervise and lead the operations team, including maintenance personnel, security staff, food services, and janitorial workers. Provide training, coaching, and professional development opportunities to staff. Foster a positive and productive work environment by setting clear expectations, encouraging teamwork, and addressing performance issues.
Operational Strategy and Continuous Improvement:
Develop and implement strategies to improve the efficiency and effectiveness of operational processes. Identify opportunities for process improvements and cost reductions. Ensure that operational goals are aligned with the company’s overall objectives and corporate vision.
Qualifications: Bachelor’s degree in Operations Management, Facilities Management, Business Administration, or a related field. Minimum of 3 years of experience in facilities management or operations, with a focus on maintenance, security, and janitorial services. Proven leadership skills with experience managing cross-functional teams. Strong financial acumen with experience in budgeting and cost control. Knowledge of safety regulations, building codes, and facility management best practices. Excellent problem-solving and decision-making abilities. Strong communication and interpersonal skills, with the ability to manage relationships with vendors, staff, and senior management. Ability to work under pressure and handle multiple tasks simultaneously. Proficient in Microsoft Office Suite and facilities management software (e.g., CMMS). Physical Requirements: Ability to walk, stand, and move around facilities for extended periods of time. Ability to lift up to 25 pounds on occasion. Occasional travel between multiple sites may be required.
