Job Description
We are seeking an Administrative Assistant for our team located in Bloomington, Minnesota. As an Administrative Assistant, you will be integral to our daily operations, ensuring efficient communication and organization within the office. Your duties will include client interaction, managing mail, maintaining client records, and assisting with coordination efforts for various projects and events.
Responsibilities:
• Handle primary communication, including greeting clients and managing the main phone line.
• Oversee incoming and outgoing mail, ensuring timely delivery and receipt.
• Maintain and update client files through scanning and filing activities.
• Prepare documents as required, including copying, faxing, typing, and mailing.
• Assist in maintaining a list of important dates such as birthdays, anniversaries, and holidays.
• Play a key role in coordinating client gifts and community service projects.
• Support the scheduling of client meetings and other events, confirming these meetings as needed.
• Aid in preparing meeting materials, including binding, copying, and setting up digital presentations.
• Provide general support to administrative and other team members for various tasks as needed.
• Utilize skills in Billing, Data Entry, Invoice Processing, and Microsoft Excel to perform tasks efficiently.
• Prior experience as an Administrative Assistant for a minimum of 3 years• Proven proficiency in Billing procedures and practices
• Demonstrated ability in Data Entry tasks with high accuracy
• Experience in Invoice Processing, with an emphasis on speed and precision
• Advanced skills in Microsoft Excel, including pivot tables and complex formulas
