Job Description
We are offering a long term contract employment opportunity for an Administrative Assistant in the Service industry, situated in West Chester, Ohio. In this role, you will be providing comprehensive administrative support, ensuring the smooth operation of our corporate office.
Responsibilities
• Handling incoming calls, gathering and providing information, and directing non-routine calls to the appropriate personnel.
• Greeting guests and directing inquiries to the relevant staff.
• Arranging travel and accommodations as needed.
• Coordinating logistics for meetings, conferences, and events.
• Processing and prioritizing all incoming and outgoing mail and faxes.
• Maintaining and ordering corporate office supplies.
• Ensuring clear communication with colleagues, clients, and visitors.
• Keeping track of tasks and events with a calendar and maintaining an organized filing system.
• Demonstrating proficiency with computers and common software programs, particularly Microsoft Office.
• Paying close attention to details such as company data, filing, customer appointments, and meetings.
• Managing multiple tasks and projects simultaneously, prioritizing and managing time effectively.
• Proficiency in Microsoft PowerPoint and Microsoft Excel, particularly in creating presentations and using advanced Excel formulas.• Experience in calendar management, scheduling meetings and appointments effectively.
• Prior experience in an administrative assistance role, demonstrating strong organizational and multitasking abilities.
• Proficiency in booking and coordinating travel arrangements, including flights, accommodations, and local transport.
• Ability to effectively route incoming calls to appropriate departments or individuals.
• Experience in performing receptionist duties, including greeting guests, handling queries, and maintaining a detail oriented and welcoming environment.
