We are offering a contract to hire employment opportunity for an Administrative Assistant in Rochester, New York. This role is situated in the Legal industry and the chosen candidate will be responsible for a variety of administrative tasks to support our Chief Legal Officer, Litigation Director, and Human Resources Department.
Responsibilities:
• Provide comprehensive administrative support to the Chief Legal Officer and Litigation Director, including scheduling appointments and managing business calendars.
• Facilitate the Human Resources Department's recruitment and selection processes, in addition to assisting with confidential employee relations issues.
• Handle inbound and outbound calls professionally, screen and place calls as necessary, and respond to email inquiries.
• Prioritize assignments and prepare correspondence, ensuring confidentiality and accuracy in all communications.
• Support the legal practice by preparing and editing legal documents, managing client files, and tracking attorney time and fees.
• Maintain a professional demeanor when interacting with all internal and external contacts.
• Familiarize yourself with routine office procedures and forms to respond appropriately to detailed inquiries.
• Assist in creating HR documents and communications for record keeping and staff communication.
• Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to manage data and schedule appointments.
• Carry out other duties and responsibilities as assigned to meet the organization's needs.• Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
• Ability to handle inbound and outbound calls efficiently
• Strong customer service skills
• Experience in data entry
• Ability to correspond via email in a professional manner
• Excellent scheduling and appointment management abilities
• Experience in a legal environment or similar setting
• Strong organizational and multitasking skills

• High school diploma or equivalent; further education or certification in administrative services will be a plus.
