Description
The Receptionist/Administrative Assistant provides comprehensive support to the local office by managing incoming communications, greeting visitors, and handling a variety of administrative tasks. This role involves maintaining office organization, managing supplies, coordinating meetings, and assisting with executive-level tasks such as handling the President's correspondence and employee records. The position requires strong organizational, time management, and communication skills and flexibility to support various office functions and ensure smooth day-to-day operations.
Responsibilities
•Answer and direct incoming calls.
•Greet and assist visitors.
•Manage incoming and outgoing mail and packages.
•Maintain office spaces, including the breakroom and copy room, and ensure office equipment is functional and supplies are well stocked.
•Collaborate with project managers, engineers, employees, contractors, and other stakeholders as needed.
•Manage conference room schedules and assist with meeting organization and communication.
•Oversee external maintenance vendors, schedule services, and review and approve invoices.
•Assist with weekly employee timesheet reviews.
•Conduct monthly audits of RockSol’s Quality Management System, ensuring documentation is accurate, complete, and compliant with company standards.
•Prepare and print documents, correspondence, reports and plan sets as needed.
•Perform other general administrative tasks as assigned.
Minimum Qualifications
•Associate degree or higher in Business or a related field (experience may offset education requirements).
•2-3 years of experience in an administrative role.
•Intermediate to advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Office 365, OneNote).
•Ability to maintain a regular work schedule of 8:00 a.m. – 5:00 p.m., Monday through Friday in our Thornton office.
•Strong organizational and time management skills.
•Ability to maintain confidentiality and exercise discretion and integrity.
