Background

The New Mexico Climate Investment Center (NMCIC) is a new 501(c)3 mission-driven nonprofit financial institution that operates on the “Green Bank” model: it uses a small amount of public money to attract and significantly leverage private sector money for investments in projects that boost equity and reduce greenhouse gas emissions, typically where other sources of financing are not readily available. It prioritizes providing benefits to low-income and disadvantaged communities to help those communities, households and small businesses adapt to climate change while reducing energy burdens. While NMCIC is known as a “green bank,” it is not a deposit-taking bank but an investment fund with the opportunity to access some of the $27 billion in the Inflation Reduction Act’s Greenhouse Gas Reduction Fund (GGRF) targeting “green banks,” states, and local governments. “Green banks” are a proven model with over ten years of history nationally; they are a potent tool for energy equity and justice. With a cumulative investment in 2021 of $2.6 billion of public funds, “green banks” throughout the U.S. created over $10 billion in total investments in hard-to-finance projects, with a multiplier effect of 4 times public dollars.


Job Description

We are currently looking for an Executive Administrative Assistant (EAA) to be a supporting partner to our CEO and the founding senior management team of the New Mexico Climate Investment Center. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to details. This person should have a comprehensive working knowledge of Apple desktop applications and the Google workspace suite and feel comfortable performing a variety of administrative duties as needed. The EAA will provide special administrative support to the CEO while also managing workflows and relationships with key team members, stakeholders, board members, and outside parties. Given the dynamic nature of the emerging field of green financing, NMCIC’s founding team seeks an EAA that thrives in a start–up environment and can be both flexible and consistent in developing and maintaining institutional workflows. 


Objectives of this role

  • Support the CEO primarily and provide additional support to executive team members, board members, and other stakeholders as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Develop, maintain and refine internal processes that support C-suite level team members and coordinate internal and external resources to expedite workflows
  • Manage communication between CIC staff, board members, and external stakeholders by liaising with internal and external contacts on various projects and tasks
  • Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.


Responsibilities

  • Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives and key stakeholders
  • Manage travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as note taking, scheduling, spreadsheet creation, prioritized task lists, as well as maintenance and organization of digital files and contacts
  • Maintain professionalism and strict confidentiality with all materials
  • Organize team communications and plan meetings and event events, both internal and off-site
  • Lead the creation and maintenance of in-house best practices for use of standard business software (e.g., email, Google Docs, calendar apps, etc.)  


Required skills and qualifications

  • Four or more years of experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees


Preferred Skills and Qualifications

  • Experience in developing internal operational processes 


Salary: Hours and compensation negotiable; commensurate with experience
