JOB SUMMARY

The Humane Rescue Alliance (HRA) is seeking an Administrative Assistant for the Field Services Veterinary Program (FVP). This position is tasked with phone requests for veterinary appointments from the DC community, as well as taking referrals for veterinary care from other departments within the organization including, but not limited to, Humane Law Enforcement (HLE) and Pet Support (PS). In addition to HRA departments, referrals may also be taken from animal control officers in Washington DC. As the program has grown, community members also reach out directly to make an appointment with our team! The Administrative Assistant will triage and schedule all appointments for the Field Veterinary teams. This position will also oversee inventory stock for FVP, making sure both field teams have the medications and equipment needed for their daily appointments.

DUTIES & RESPONSIBILITIES

  • Receive emergency and non-emergency telephone calls from public and law enforcement agencies relating to sick and injured, owned animals throughout the city.
  • Provide prompt, courteous, efficient high-quality service to members of the public, other HRA departments, and DC Animal Control by personally responding to requests for service.
  • Accurately triage emergency appointment requests and properly refer to outside agencies if FVP is unable to assist with the call.
  • Effectively operate multiple telephone lines, a radio, a computer, and other applicable equipment to communicate information to Field Veterinary Teams.
  • Maintain records, databases, and all Field Veterinary client/patient related logs.
  • Perform other related duties and projects as assigned by Field Services Veterinary Director.
  • Keep track/regularly go through FVP inventory stock to ensure proper equipment and medications are ordered when needed.

QUALIFICATIONS & REQUIREMENTS

  • Knowledge of and ability to effectively operate multiple telephone lines, computer terminal, radio system, and other applicable equipment.
  • Basic knowledge of animal breeds and behavior.
  • Basic knowledge of animal health and body language
  • Basic knowledge of/ability to learn DC geography and its environment.
  • Strong interpersonal, written, and verbal skills.
  • Ability to communicate effectively, courteously, and professionally with a variety of individuals representing the public, board members, volunteers, donors, and employees; with diverse cultures and backgrounds; using sensitivity, tact, diplomacy in often stressful situations.
  • Ability to work effectively, both independently and in a team environment, in an atmosphere of multiple projects, shifting priorities, and deadline pressures.
  • Ability to be flexible, detail oriented and able to prioritize.
  • Basic knowledge of scanning documents and Microsoft Excel
  • Ability to manage emotional aspect of work in an animal shelter environment in a positive professional manner.
  • Passion for the HRA mission, and for caring for all animals regardless of age, breed, temperament or species.

  • Regularly position oneself at a computer station for prolonged periods in a shared office environment.
  • Sufficient manual dexterity and hand-eye coordination are necessary to operate various office equipment such as: telephone, computer, two-way radio system, and other applicable equipment.
  • Work under stressful conditions due to the volume and emergency nature of calls received. These calls may consist of inquiries, complaints, and/or demands from hostile or irate people.
  • Ability to work weekends as needed for HRA vaccine clinics.

EDUCATION & EXPERIENCE

  • High school diploma or GED or combination of education, training, and/or experience that demonstrate possession of the knowledge, skills, and abilities listed above.
  • Minimum of one year working as a progressively responsible veterinary receptionist, veterinary assistant, or veterinary technician.
