As a Customer Service Specialist, you’ll play a pivotal role in supporting customer interactions, processing inquiries, and managing the internal workflows tied to customer orders. This role includes collaborative work across departments to ensure smooth, accurate, and timely service. You’ll also provide support for the Customer Service team and the Customer Service Manager, ensuring consistent, reliable service delivery.

 

Responsibilities:

  • Process and enter customer orders accurately, ensuring sales orders reflect correct pricing and customer requirements.
  • Address customer inquiries, concerns, and requests promptly and professionally.
  • Investigate and resolve customer complaints, coordinating with relevant departments as necessary.
  • Facilitate product returns, prepare samples, manage debit/credit requests, and assist with shipping issue resolutions.
  • Conduct general office tasks, manage communications, and complete regular reporting and follow-up.
  • Participate in customer surveys and support annual management review processes.
  • Maintain up-to-date customer and product data in company systems and reports.
  • Oversee customer database management and maintain accurate customer files.
  • Handle invoicing and credits as needed.

 


  • High School Diploma or GED required.
  • 3-5 years of customer service experience, preferably in a manufacturing or distribution environment.
  • Proficiency in Excel and familiarity with ERP systems.
  • Exceptional customer service skills, including the ability to resolve customer issues and complaints
  • Strong communication skills, both verbal and written, and effective telephone etiquette.
  • Ability to interact professionally and diplomatically with diverse customer needs and situations.
  • Strong decision-making abilities and the capability to prioritize effectively under varying customer demands.
