Records & Registration Assistant Director or Associate Director . The selected candidate will fill either position commensurate with their education and experience.
The UMB Graduate School offers graduate education and training in biomedical, health, and human service sciences, offering over 60 post-baccalaureate, Master of Science (MS) and Doctor of Philosophy (PhD) degree programs. The selected candidate will accomplish responsibilities by applying specialized and theoretical knowledge, principles, and concepts of a professional discipline normally acquired through advanced education or specialized training. Resolves issues and significant matters on behalf of management by utilizing independent judgment, discretion, creativity, and analytical thinking. Contributes to development and evaluation of goals and objectives. Creates solutions to ensure legal and policy compliance. May train, supervise, mentor, or coordinate work of others (positions that supervise are responsible for service delivery, quality assurance, and employee performance). May independently manage or administer programs, processes, projects, or resources.

Primary Duties
(Assistant Director)
Assist in developing, enhancing, guiding, and implementing strategic direction of registration and record, including registration process and record retention for the School of Graduate Studies. Manage, train and supervise registration and record staff.
Assist in developing short-term registration system enhancements and record maintenance to ensure the student's experience is seamless and efficient.
Guide current and prospective students through registration process, advisement on plan of study, and advice on record requests and requirements. Manage inquiries and ensure individualized follow up takes place. Assist students in complex scheduling or requests as needed.
Manage the student information system for academic records used in registration and records is secure. Prepare mandated reports ensuring the confidentiality and accuracy for student data and in compliance with all regulations and requirements. Provide and implement recommendations to improve record management.
Ensure compliance with the University’s retention policies to stay current with records management techniques relating to imaging, disaster recovery, retention schedule, and other critical issues.
Provide business process analysis for registration areas to support student and academic services.
Maintain and nurture effective communication and partnerships throughout the campus by conferring with business unit and campus leadership on issues pertaining to the promotion and understanding of the departmental functions. Proactively represent the department through participation in campus meetings and special projects.
Perform administrative duties such as staff supervision, performance evaluation, budgetary tracking, report formulation, and quality assurance functions.
Ensure efficient recruitment/interviewing and training functions to continually review strengths and weaknesses in maintaining a staff of well-trained, highly involved, and motivated employees.
May be involved in additional student records, such scholarship administration.
Manage data accuracy through the use of report writing tools and creating and running exception reports to meet University and government statistical reporting requirements.
Perform other duties as assigned.
