Job Description
We are in search of a PT Executive Assistant for an AI company Downtown. This role involves providing high-level administrative support, primarily to the CEO, and managing various tasks that ensure smooth business operations. This position offers a contract to permanent employment opportunity, with a focus on building and maintaining strong detail oriented relationships, handling executive schedule management, and providing general administrative assistance.
Responsibilities:
• Manage the CEO's calendar meticulously, prioritizing requests, resolving scheduling conflicts, and making recommendations to ensure smooth daily engagements.
• Serve as a link between the CEO, other employees, and vendors, fostering and maintaining strong detail oriented relationships.
• Support the CEO in decision-making, problem-solving, and task prioritization.
• Handle general administrative tasks for the CEO, such as managing expenses, ordering office supplies, and tackling other administrative tasks as required.
• Organize and schedule virtual meetings via Zoom, ensuring participants receive necessary login information.
• Arrange detail oriented and personal travel for the CEO, including booking flights, accommodations, transportation, and managing travel itineraries. Make sure all necessary travel documents are in order and arrangements are made. • Uphold confidentiality and discretion when handling sensitive detail oriented and personal information, documents, and discussions both within and outside the organization.
• Use skills in Cisco Webex Meetings, Concur, CRM, Calendar Management, Communication, and Conference Calls to perform duties effectively.
• Perform other related duties as assigned.
• Proficiency in using Cisco Webex Meetings for scheduling and managing virtual meetings.
• Experience with Concur for travel and expense management.
• Knowledge of CRM systems for maintaining and managing client relationships.
• Excellent calendar management skills, with the ability to coordinate and schedule multiple appointments and meetings.
• Strong communication skills, both written and verbal, for effective correspondence with executives, clients, and team members.
• Experience in managing conference calls, including scheduling, participant management, and technical troubleshooting.
• Ability to draft, edit, and manage detail oriented correspondence on behalf of executives.
