We are offering a long term contract employment opportunity for an Executive Assistant in services management industry, located in Baltimore, Maryland. The successful candidate will be part of a dynamic team, providing support in a fast-paced environment.


Responsibilities:

Administrative Support:

  • Manage the President’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Prioritize and manage incoming communications (calls, emails, and messages) and determine the appropriate response or action.
  • Draft and proofread correspondence, reports, presentations, and other documents for the President.
  • Prepare and organize materials for meetings, including agendas, minutes, and follow-up actions.

Meeting and Event Coordination:

  • Schedule and coordinate internal and external meetings for the President, ensuring all logistics (venue, travel, attendees, etc.) are covered.
  • Attend meetings with the President, take notes, and ensure follow-up actions are completed.
  • Assist with the planning and execution of events, conferences, and presentations.

Project Management:

  • Assist with special projects as assigned, ensuring deadlines and deliverables are met.
  • Help track and follow up on key initiatives and ongoing tasks across various departments.

Communication Liaison:

  • Serve as the first point of contact for the President’s office, managing relationships with key stakeholders, including board members, executives, clients, and external partners.
  • Facilitate communication between the President and other members of the executive team and staff.

Confidentiality and Discretion:

  • Handle sensitive and confidential information with integrity and discretion.
  • Maintain a professional and polished demeanor when interacting with internal and external parties.

Operational Efficiency:

  • Ensure that office systems, processes, and procedures run smoothly and efficiently.
  • Manage office supplies, equipment, and resources to ensure the President’s office is fully equipped.


Experience:

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives or high-level leadership.
  • Experience managing complex calendars, travel arrangements, and communications.

Skills and Competencies:

  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
  • Strong interpersonal skills with the ability to interact effectively with high-level executives and external stakeholders.
  • Ability to work independently and anticipate the needs of the President.
  • Attention to detail, problem-solving abilities, and a proactive mindset.
