We are offering a contract to hire employment opportunity for a Sr. Executive Assistant in Houston, Texas. This role is vital within our team, focusing on providing high-level, confidential administrative support within the energy and innovation sector. In this position, you will professionally correspond with various stakeholders, manage projects, keep track of budgets, and prepare reports.
Responsibilities:
• Manage and coordinate daily schedule and appointments, ensuring all meetings and conferences are well-timed and organized.
• Arrange travel itineraries, prepare meeting briefings, and follow up on actions from meetings.
• Handle sensitive information with a high level of discretion and confidentiality.
• Liaise with department staff, faculty, and external parties, acting as the first point of contact for the office.
• Maintain an organized filing system of paper and electronic documents.
• Review, proofread, and compile various reports and presentation materials.
• Prepare and manage the office’s budget, ensuring timely invoicing and reconciliation of expenses.
• Organize events and stakeholder engagements as directed.
• Utilize skills in Concur, About Time, Calendar Management, Communication, Conference Calls, Correspondence, Distribute Meeting Minutes, and Maintain Calendar to effectively manage tasks and responsibilities.• Proficiency in using Concur and About Time software
• Strong ability to manage and maintain calendars
• Excellent communication skills, both written and verbal
• Experience in handling conference calls professionally
• Ability to draft and manage correspondence effectively
• Experience in distributing meeting minutes in a timely manner
• Must demonstrate high level of organization and attention to detail
• Ability to manage multiple calendars simultaneously
• Ability to handle sensitive information with discretion and confidentiality
• Ability to work independently and in a team environment
• Strong problem-solving skills and ability to make decisions under pressure
• Demonstrated ability to meet deadlines and manage time effectively
• Experience in a similar role as an Executive Assistant preferred.
