We are offering a long term contract employment opportunity for an Executive Assistant in Valley Center, California. This role is essential within the government sector, where you will be expected to manage and streamline administrative procedures and assist in the efficient operation of the office.


Responsibilities:

  • Keeps the executive’s communications organized, allowing easy access to high-priority information.
  • Composes and reviews correspondence, resolutions, and policies, ensuring adherence to professional business writing and formats.
  • Screens all visitors to assess their support needs while providing polite, professional customer service.
  • Manages the executive’s daily calendar, including scheduling meetings, confirming appointments, preparing itineraries, and arranging transportation.
  • Maintains document records and archives for the organization’s Board.
  • Upholds confidentiality, integrity, and professionalism within the department.
  • Interacts courteously and professionally with all levels of management, outside agencies, and customers.
  • Coordinates arrangements for meetings and conferences, including catering, meeting space, and technology needs.
  • Schedules appointments and meetings for organization Board Members.
  • Arranges travel for organization Board Members, providing detailed itineraries and accommodations.
  • Tracks and reconciles the Corporate America Express Card.
  • Prioritizes and distributes mail/faxes to the appropriate departments.
  • Makes trips to the post office as needed.
  • Sends out meeting notices and related documentation.
  • A minimum of 5-8 years administrative experience. Executive Assistance experience is preferred.
  • Computer software experience with intermediate experience in Microsoft Word and Excel programs.
  • Ability to manage multiple tasks.
  • Must possess the ability to generate professional written correspondence.
  • Strong communication skills.
  • Exceptional organizational skills.
