We are offering a contract for an Executive Assistant position in Santa Paula, California, 93060, United States. As an Executive Assistant, you will provide crucial administrative support, manage communications, and maintain confidentiality of sensitive information. You will play a pivotal role in coordinating office activities, scheduling appointments, and handling a variety of correspondence.
Responsibilities:
• Efficiently process a range of administrative tasks and requests from different departments.
• Plan, organize, and coordinate office activities and the flow of communications.
• Maintain confidentiality of privileged and sensitive information.
• Handle incoming calls, screen and direct them appropriately, and assist visitors.
• Interpret policies and regulations to officials, staff, and the public.
• Independently compose correspondence on various matters, including confidential ones.
• Format, edit, proofread, and revise written materials.
• Schedule appointments, meetings, and travel arrangements.
• Maintain the administrator’s calendar and coordinate special events.
• Handle incoming correspondence, prioritize, and route them accordingly.
• Attend meetings, prepare related agendas, record and transcribe minutes.

• Minimum of 5 years of experience as an Executive Assistant
• Experience with Kronos Timekeeping System
• Exceptional Calendar Management skills
• Excellent Communication skills
• Familiarity with conducting Conference Calls
• Proficient in handling Correspondence
